Service Dispatch Coordinator - Southwest Materials Handling Company

Job Summary:
As a Service Coordinator at Southwest Materials Handling Company, you will play a crucial role in coordinating and managing service activities for our clients. You will be responsible for overseeing service technicians, ensuring efficient scheduling of repairs, and maintaining high levels of customer satisfaction.
Responsibilities:
- Coordinate and schedule all activities of service personnel in both shop and field settings.
- Implement quality control procedures to minimize reworks and ensure customer satisfaction.
- Communicate daily with customers and Customer Service Representatives regarding repair statuses.
- Address customer complaints and concerns promptly and effectively to maintain superior customer service standards.
- Create work orders for repairs of equipment
- Document diagnosis of repairs or findings, customer communication and relay communication from customer to Service Technician
- Provide all necessary information on work order to support billing process
- Provide superior customer service to all customers including internal
- Provide quick response in answering all phone and email inquiries
- Oversee daily functions of service technicians – primarily Field Techs, but also support on site staff in all facets of their job functions.
- Post labor time daily to balance with payroll
- Always dispatch the nearest and available technicians to the job to minimize drive time and increase response
- Use all resources necessary to ensure the customer needs are met as quickly as possible.
- Ensure a full day’s work for each technician and notifies management when this cannot occur
- Ensures constant coordination of jobs including regular communication with parts personnel, Service writers and Technicians to ensure all are completed in a timely and efficient manner
- Review technician notes on work order – apply appropriate misc. charges, fuel / truck charges and any sublet charges accordingly
- Work orders are to be closed and/or prepped the following day
- Ability to work well in a team environment
- Other job duties may be assigned as determined by management
Requirements:
- High school diploma or GED equivalent required; college education is a plus.
- Basic computer skills and good organizational abilities.
Physical Demands / Working Conditions:
- Work environment may involve loud noise levels and exposure to mechanical parts.
- Physical requirements include bending, stooping, and working near moving machinery.
- Potential exposure to hazardous materials commonly found in service departments.
