You will contribute to team efficiency and project execution by managing office operations, ensuring compliance with subcontractor and insurance documentation, and supporting project financials and contract administration. We'll rely on you to create a welcoming environment for visitors and team members, accurately track and manage contracts and insurance compliance, maintain organized and accessible documentation, process change orders promptly, and ensure accurate payroll submissions. To thrive in this role, you will have effective communication and advanced documentation skills, proficiency with payroll and ERP systems, and previous experience in contract administration.

What you'll do

• Enhance team efficiency through effective office operations including creating a welcoming experience for visitors, maintaining office supply inventory, coordinating and scheduling team meetings, and producing and distributing meeting notes. 
• Support project operations by tracking subcontractor and supplier insurance compliance, maintaining organized documentation, scheduling requested construction activities, and preparing subcontracts, professional services agreements (PSAs) and purchase orders. 
• Monitor contract status, ensure bonds accompany contracts and manage documentation in CMiC and owner-specific software, making records easily accessible and current.
• Process and manage change orders promptly and accurately to minimize project delays and maintain workflow efficiency.
• Contribute to project financial accuracy by thoroughly reviewing subcontractor documentation, ensuring compliance with Certified Payroll, entering hours into LCP tracker, and submitting payroll information into owner-specific software.
• Assist Field Services Support staff by uploading and sharing insurance information in CMiC for master contracts and “all jobs” insurance, maintaining a high compliance rate.
• Project-specific objectives may include participation in quality control activities, maintaining RFI & submittal logs, processing OCIP/ROCIP or Subcontractor Default Insurance (SDI) enrollments, and contributing to Historically Underutilized Business (HUB) reporting.

• Ideally, you've previously worked as a project administrator or a related role in the architecture, engineering, and construction industry
• Prior experience with software used to manage an organization's day-to-day activities including Microsoft office, accounting, and project management
• You are meticulous about your work and have a knack for spotting inaccuracies in billing, invoice coding, subcontracts, proposals, and team member timesheets
