Front Desk Receptionist

  • The Office Assistant for SPECTRA Financial is responsible for keeping the office running smoothly and overseeing administrative support. Duties will involve greeting clients and prospective clients, answering incoming phone calls, assisting the Operations Manager in purchasing office supplies, taking proper inventory, and communicating with our office team and vendors to ensure maximum organization and productivity. The Office Assistant will work with the operations manager to assist the Managing Partner in their day-to-day schedules, activities, and assist as needs arise.

General Office Responsibilities

  • Knowledge of office management procedures and basic administrative tasks
  • Answering phone calls and addressing inquiries or directing them to the appropriate team member
  • Greeting and checking in clients with a warm and friendly demeanor
  • Assist in prepping rooms prior to all meetings
  • Handle sensitive information in a confidential manner
  • Collecting client information and updating records accurately
  • Assisting with scheduling appointments and managing the office calendar
  • Proficient note taking from client conversations (documenting phone calls, text, voicemails, etc.)
  • Assisting with administrative tasks such as data entry, filing, and organizing documents and managing the overall file system
  • Ensure office supplies are stocked and assist the office manager in ordering as needed
  • Assist the team in maintaining exceptional customer service
  • Attend, and contribute to team meetings
  • Maintain an organized office environment
  • Manage daily mail
  • Assist in sending out Pre/Post appointment correspondence
  • Client Love (Thank You notes, Birthday Cards, etc.)
  • Ensure appointment reminders and other pertinent information is sent in a timely manner
  • Ability to work under pressure and adapt to any situation is a must.

Ideal Candidates will have:

  • Passion for client services and putting their needs first
  • Previous experience as a receptionist or in a similar customer service role
  • Ability to learn and work within different systems and databases while maintaining accuracy and efficiency
  • Strong attention to detail and sharp analytical skills demonstrated through work experience
  • Self-starter, capable of developing new tools and capabilities to solve problems
  • Experience working with CRM systems and the ability to multi-task and prioritize multiple responsibilities throughout the day

Minimum Requirements:

  • Associate’s degree required or equivalent work experience 2-3 years in office environment
  • A minimum of 3-year experience in a client facing/service role (preferably in financial services)
  • Intermediate to advanced computer skills desired. Experience with excel required
  • Must be available to work part-time hours, in our North Fort Worth location.

Hours and Days may vary depending on work load for week.

This could turn into a full-time position after 60 day review.
