Position provides support and performs general administrative work for the Chief Human Resources Officer. Work requires the application of independent judgment based on considerable knowledge of the functions of the Human Resources Department and the work preferences of the Chief Human Resources Officer. Work and information handled requires complete confidentiality and a high degree of discretion. Work involves verbal and/or written communication with management, labor groups, elected officials, and persons from the business community.

Examples of Duties
- Act as personal and confidential assistant to the Director of Human Resources & Labor Relations and perform
- general clerical duties for Human Resources, Training, and Security staff. Must be adaptable, organized, and able to multi-task.
- Answer inquiries requiring knowledge of organization policies, procedures, and activities, or direct them to proper office(s). Make appointments and keep schedule for the Director of Human Resources & Labor Relations.
- Disseminate to department heads and other responsible staff division policies and procedures promulgated by theDirector of Human Resources & Labor Relations.
- Type correspondence, reports, and other material. Independently compose, sign, and mail routine correspondence or other documents essential to the on-going daily operations of the Human Resources Department.
- Create and maintain charts and graphs in Excel and PowerPoint used for presentations to the STA Board and committees as well as for internal quality control monitoring.
- Proof, edit, and prepare materials (both public and confidential) for the Human Resources Department. Information requests from other transits and/or public entities.
- Prepare STA salary survey to send out to transit comparables. Request information from all outside sources linking to salary analysis of positions throughout the organization. Collect, analyze, proof, and edit data, by building a market report for analysis by management, to make decisions on compensation. Keep updated on compensation trends.management.
- Provide administrative assistance in support of Director’s role in monitoring the performance of the Human Resources Department including Safety and Security and Training.
- Preparation of salary surveys pertaining to employee compensation and benefit information. Respond to survey
- Assists in wage and salary administration, including the development, preparation and revision of job descriptions, job analyses and salary, compensation, and benefit information. Assist the Director of Human Resource & Labor Relations with reorganization or reclassification for job and salary decisions.
- Provide clerical support and maintain Director’s confidential correspondence, technical files, and provide e-mail
- Manage the central filing system for the department, including updating and maintaining STA’s personnel files; the Human Resources’ confidential correspondence and technical files; and the department’s general files. Maintain a centralized filing system including forwarding appropriate documents to long-term storage or for disposal.
- Coordinate training, make travel arrangements, hotel reservations, and meeting registrations for Director and other department staff. Maintain records of all travel costs for the department.
Education & Experience
Five years of progressively more responsible clerical and secretarial work experience. Vocational or business education may be substituted on a year for year basis for up to two years of the required work experience.
Physical Requirements
The physical activity of position requires the ability to stoop, reach, finger dexterity, and talk. Must be able to hear well enough, with or without correction, to receive detailed information through verbal communication. Exert up to 10 pounds of force occasionally and/or a negligible amount of force constantly to move objects. Visual acuity to determine depth and field of vision. Repetitive motions of wrist, hands, and/or fingers.
Computer Skills
Experience within the Microsoft environment with extensive proficiency in Word, Excel (charts and graphs), PowerPoint, and Outlook. Willingness and ability to learn new computer applications, as necessary. Ability to keyboard proficiently while retaining accuracy with spelling, numbers and grammar.
