Spotlight Media is on the lookout for an experienced Administrative and Accounting Specialist. We have really great systems in place, and we are looking for someone to take these systems to the next level. This role will work directly with me and not only fulfill our critical tasks every day but also collaborate with me on how to grow and optimize our systems.”

We have around 100 daily, weekly, and monthly tasks set up with video training for each task. This role will be coming into a nice system with good practices in place.

Responsibilities include:

  • Invoicing and Deposits
  • Collection Emailing
  • Cash Flow Management
  • Bill Pay and Vendor Management
  • Accounts Receivable Tasks
  • Assisting our HR company with small admin tasks
  • Assisting our Accounting company with tasks throughout the month
  • Assisting our Bank and Insurance company with tasks
  • Organizing and filing data
  • Accounting-based projects for future needs

POSITION SUMMARY

  • Process Accounts Payables and Accounts Receivables through Company's ERP accounting software and other software.
  • Ensure a high level of integrity, providing service and communication while maintaining confidentiality to internal and external parties.
  • Daily prioritization of tasks and organizational skills to follow them to completion.
  • Perform data entry functions, maintaining records with a high level of accuracy.
  • Secondary attendant on our telephone system, answering and routing calls, inquiries, and greeting clients and vendors entering the building.
  • Provide administrative support to the office team relating to Accounts Receivable, Inventory, and the Payroll Process according to established Company policy procedures.

ESSENTIAL FUNCTIONS

A/P & A/R FUNCTIONS

  • Must be proficient in processing high volumes of invoices with a high level of accuracy.
  • Process daily A/P invoices through Company's ERP accounting software.
  • Verify accuracy of A/P work by reconciling work against Vendor Accounts and A/P reports and posting to the General Ledger.
  • Creation of vendor accounts and maintain vendor records.
  • Posting to vendor accounts and processing incoming and outgoing payments with speed, efficiency, and accuracy.
  • Perform Journal Entries as requested and assist with month-end work for A/P.
  • Assist in other month-end or year-end reconciliations as requested.
  • Communicate effectively with vendors, providing prompt and accurate information via phone, email, or other correspondence.
  • Research and resolve discrepancies between invoices, receipts, purchase orders, or other financial data.

ADMINISTRATIVE FUNCTIONS

  • Secondary attendant on the Company telephone to answer, screen, and forward calls, provide information, and take messages.
  • Prepare outgoing mail, send messages, or arrange for courier deliveries. File and maintain records, electronically file documents, and make copies.
  • Provide support to fellow team members including assistance with AR, Inventory, Payroll, and other tasks performed by the team.
  • Assist with special projects and various other tasks as may be assigned by the Supervisor.

Requirements

SKILLS & ABILITIES

Education:

  • Associate's Degree or Bachelor's Degree in Accounting or related field, or significant work experience demonstrating competency in high-level accounting work.

Experience:

  • 2 years of experience in Accounting Functions.

Computer Skills:

  • Proficient in the operation of a personal computer, higher-level business accounting programs; experienced in the use of Google Workspace.

  • Pleasant demeanor, welcoming voice, and professional appearance for greeting the public on the telephone and in person. Ability to maintain the highest level of confidentiality. Must work well with fellow team members and have a naturally supportive nature.

WORK SCHEDULE

Monday-Friday, 8:00 am - 5:00 pm
