Overall Responsibility- The Administrative Assistant provides effective and efficient administrative services to the Church staff, including the Pastor and the Church Executive Board. This position is primarily Administrative but includes ministry opportunities both among church members and with community contacts. We are seeking someone who will manage the office with a heart for ministering to people out of a relationship with Christ.
Specific responsibilities include, but are not limited to, the following:
Communication- Serves as the point of contact for members seeking assistance or information; relays member needs or concerns to Pastor or member of the church Executive Board as appropriate and maintains confidentiality of the request; receive visitors to the office (e.g., church members, ministry volunteers, visitors and vendors); assemble, print, and distribute the weekly bulletin, monthly newsletter, brochures, annual reports, board and ministry meeting minutes, and other publications and correspondence as requested; maintain church bulletin board; develops, creates and distributes weekly by email (e.g. "What's up at St. James) and social media (e.g., Facebook) and monthly newsletters and/or updates to keep members informed about upcoming events, ministry and outreach updates and the latest church news
Coordination- Maintain an accurate and up-to-date master Church calendar of events and facility usage through contacts with the Church staff, board and ministry leaders, and the public; oversee the disbursement and retrieval of Church door keys/passcode in coordination with Trustees. Provides assistance to the Pastor by scheduling appointments and ministry commitments, managing correspondence and preparing documents as needed (e.g., Baptisms, new members, etc.)
Office- Maintains regular office hours as determined by Church Executive Board; accomplish given tasks in a timely, appropriate manner, seeking guidance when needed; receive and respond to visitors to the office including pastoral and staff appointments, ministry volunteers, congregation members and vendors. Provide clerical support during church events, meetings, or special services as required. Update church database and communications tools, including, but not limited to Church Communications platform, Church website, Facebook and other social media outlets
Supplies and Equipment- Maintain an inventory of office and kitchen supplies; place orders as needed or requested, arrange for service and repair of Church equipment.
Record Keeping- Organizes and maintains databases and/or other filing systems for use by the Pastor, boards & church ministries to ensure easy access to church records; maintain records of membership, baptisms, weddings, and funeral.
Scheduling- Aid the Pastor in coordinating schedules and ministry commitments. Carry out special projects as requested by the Pastor or Executive Board that are within the scope of the position
Knowledge, Skills, Abilities- Organizational skills and attention to detail; self-motivated and able to complete work independently as well as a member of a team on some projects; excellent written and verbal communication skills; proficient in Microsoft Office (Word, Excel, PowerPoint) and database software (Church Windows, Breeze); ability to maintain confidentiality and to handle sensitive and personal information with complete discretion; handle multiple tasks at once; prior experience in office management or similar role strongly preferred; knowledge of church operations and familiarity with church terminology preferred but not required.
Minimum Qualifications- 3 years of experience directly related to the duties in the position description
Hours- 25 per week, set office hours Monday – Friday, with possibility of remote hours
Salary- $18,200
Benefits- Retirement Plan, Disability and Survivor Plan through Concordia Health paid for by church, with possibility of jointly paid Health Insurance Plan.
