Position Description:

This is a 75% position. As the Upper School Front Office Manager & Administrative Assistant to the Head of School at SSSAS, you will play a vital role in supporting the smooth operation of administrative functions within the school. You will work closely with the Upper School Division Director, Head of School, administrative team, faculty, students, and parents to ensure efficient communication and effective administrative processes. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.

Please note: The Front Office Manager position is 100% during the summer months between mid-June and mid-July.

Responsibilities of the Front Office Manager:

  • The front office manager maintains a welcoming and organized front office space, welcomes visitors to the school with a friendly and upbeat demeanor, and effectively manages different administrative responsibilities with professionalism and grace.
  • The front office manager answers the main phone number for SSSAS and directs calls and requests as needed. Serves as a resource to parents, students and teachers to help with school questions/logistics.
  • The office manager works with the maintenance and security personnel to implement building safety protocols. This includes procedures to allow guest access and guest registration when visiting the school.
  • The office manager reviews emails/requests from SSSAS website and forwards them appropriately.
  • The office manager will enter and update Upper School calendar events into the website and update the electronic display screens around the school.

Responsibilities of the Administrative Assistant to the Head of School:

  • Support the Head of School by coordinating activities, gifts, and correspondence to show gratitude, care, and support. Specific tasks include:
    • Coordinate, plan and execute school events assigned by the Head of School including Monday night dinners, all-school lunches and celebrations, stewardship events, and others.
    • Support the community through correspondence and gift coordination for major life events for school constituents including faculty/staff, alumni, students, parents and Board Members. This will include a close partnership with the Advancement Team.
    • Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
    • Draft correspondence including All School Memos as assigned by the Head of School.
  • Maintain confidentiality of sensitive information related to students, staff, and school operations.
  • Perform other administrative tasks and duties as assigned by the Head of School in coordination with the Executive Assistant to the Head of School.

Qualifications

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Proven experience in an administrative role, preferably in an educational setting.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Excellent communication and interpersonal skills, with the ability to interact professionally within the community.
  • Experience with coordinating events for small and large groups
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Flexible and adaptable, with the ability to work independently and as part of a team.

Knowledge of school policies, procedures, and regulations is a plus.
