Your Purpose: Imagine stepping into a role where your organizational skills and discretion are pivotal in supporting the leadership of a pioneering cannabis company. As an organized, seasoned, and detail-oriented individual who thrives in a fast-paced and fast-growing environment, you will support a small executive team and a public-facing CEO. You’ll handle administrative tasks, manage financial processes on behalf of the CEO, and support the CEO with strategic thinking during this season of the company's growth. The Executive Assistant also will be instrumental in managing office logistics, supporting executive schedules, and contributing to our mission of promoting holistic wellness through cannabis.
Key Responsibilities:
Financial Coordination on behalf of CEO
- Collaborate with the finance team to ensure accounts payables and receivables are managed efficiently
- Provide necessary documentation and support to facilitate financial processes
- Assist in budget understanding and monitoring to ensure fiscal responsibility
Executive Assistance
- Schedule meetings and travel arrangements for C-suite executives, ensuring efficient time management
- Prepare meeting agendas, take minutes, and follow up on action items as needed
- Manage CEO correspondence and communications (external and internal)
- Support the CEO in public engagements and presentations
Office Administration
- Oversee daily office operations, ensuring a well-organized and functional workspace
- Maintain office supplies and equipment and help manage vendor relationships, as necessary
- Coordinate office events and meetings, fostering a positive and collaborative work environment
Multitasking and Flexibility
- Wear multiple hats to support various departments and projects as needed
- Adapt to changing priorities and manage multiple tasks simultaneously with a positive attitude
- Proactively identify opportunities for process improvements and implement solutions
Preferred Qualifications:
- Proven experience (5 years) as an Executive Assistant or similar role in a fast-paced environment.
- Strong organizational and multitasking skills, with the ability to prioritize effectively.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office, the Google Suite of products, and familiarity with office equipment.
- Basic understanding of financial principles and budgeting.
- High degree of discretion and professionalism when handling sensitive information.
- Proven ability to deliver results promptly, even in high-pressure environments.
- Willingness to comply with all industry-related laws, regulations, and policies.
- Ability to work collaboratively with a team, driving operational efficiencies, and effectively communicating at various levels within the organization.
- Proven success in maintaining quality, service, and client relationships in a high-paced setting.
- Authorization to work in the United States and must be 21 years of age or older.
Working Conditions:
This role offers a dynamic blend of office-based tasks, field visits, and travel to industry events and conferences. So, it’ll be important to support the flow of start-up operations, sometimes handling items of up to 25 lbs. Pay and Benefits:
