DUTIES AND RESPONSIBILITIES:

  • This position is responsible for developing and implementing a monitoring tool for private professional guardians.
  • The monitoring tool will involve reviewing and aggregating responses provided to the Office of Public and Professional Guardians (OPPG) by professional guardians. This will involve inputting information in various computer applications and assist with enhanced review of professional guardian’s cases.
  • Assist in development of improved procedures, job aids, desk manual, monitoring tool and monitoring forms. This may include assisting in the technical planning and developing a private monitoring tool.
  • Assist in reviewing, approving, auditing, and developing continued education courses for professional guardians.
  • Create and utilize spreadsheets and database applications to produce a variety of materials including correspondence and reports.
  • Maintain appointment calendars, schedule meetings, and make travel arrangements.
  • Respond to telephone calls and emails to OPPG. Set up and maintain office files.
  • Assist OPPG with research related to guardianship, evaluate current need for public and private guardianship and recommend methods to address the need for additional public guardian services.
  • Review and make recommendations on budget and long-range planning for OPPG.
  • Analyze ward demographics. Provide reporting on guardians and ward demographics as needed.
  • Position may require travel statewide including overnight travel.
  • Provide support for public guardian programs as needed. This may include assisting the public guardian monitors with monitoring the public guardian programs including site visits.
  • Maintain contact with public guardian programs regarding waitlists, current Ward services, and pending referrals.
  • Assist as needed with complaints and investigations regarding professional guardians.
  • Assist with special projects and other duties as may be required.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

  • Bachelor’s degree – related work experiences my substitute.
  • Knowledge of or willingness to learn Florida guardianship law and procedure and Standards of Practice.
  • Possess strong written and oral communication skills, required for public speaking and report writing, use correct grammar, punctuation, and spelling. Detail oriented and able to enter data accurately into a computerized system. Able to navigate multiple computer screens, applications, and online research engines. Proficiency in Microsoft Windows Operating environments and Office Suite products (Word, Excel, Outlook, PowerPoint, OneDrive, and SharePoint.)
  • Ability to demonstrate a professional and courteous demeanor; establish and maintain cooperative working relationships with the public and staff. Ability to work independently and with teams in the unit and agency where appropriate.
  • Willing and able to make decisions and exercise sound judgment; to accept responsibility for one’s own actions and decisions; to adapt to changes in work assignments, procedures, and technology; and to be committed to improving individual performance. Willing and able to follow written and oral directions and instructions from management and carry out the directives of persons with duly delegated authority. Willing and able to resolve any differences with management in a constructive manner and accept and abide by management’s direction and decisions.
  • Ability to prepare clear, concise, and accurate records, reports, correspondence, and other documentation in a logical format within established timeframes. Format for presentation in reports, documents, and other written materials; utilize problem solving techniques; research, plan, organize, and coordinate work assignments. Possess strong project management abilities.
  • Ability to understand and apply contract development processes and basic management principles and policies. Knowledge of federal and state laws, including policies, procedures and rules pertaining to the management, administration, and monitoring of contracts, and the procurement and purchasing of contracted services. Ability to apply basic accounting principles. Knowledge of contract monitoring, state fiscal practices and management of grant and budgets. Knowledge of Microsoft office products. Ability to conduct fact finding research, collect and analyze data and problem solve. Ability to interpret auditing standards and principles. Ability to effectively provide technical assistance to contract providers. Ability to review, analyze, and evaluate financial data.
  • Ability to travel to conduct program monitoring, auditing initial guardianship training, and auditing continuing education (25-35%).

REQUIREMENTS:

  • Valid Florida Drive License
  • Criminal background check, regular travel involved.
  • Travel may be required.
  • Bachelor’s degree from a four-year college in public administration or related field preferred, related work experience my substitute.
