The Work You Will Do:

The OPS full-time Administrative Assistant I position provides support on a variety of administrative and clerical matters for the Beach Management Funding Assistance program.

Pay:

$15.00/hr.

Your Specific Responsibilities:

  • In carrying out the duties of this position, the incumbent is always expected to be aware of and abide by the Department’s Standards of Conduct, as well as any and all departmental and/or work unit rules, directives, policies, procedures, and/or general orders applicable to performing the duties of this position. If position is supervisory, incumbent is also expected to actively support and work toward fulfilling the Agency’s Affirmative Action objectives.
  • Independently assists the staff in providing analysis, research and support on a variety of administrative and clerical matters for the program.
  • Create, organize and maintain complex files, sets up new files, ensures accuracy of filing data.
  • Maintains information for program management files and policies.
  • Assists staff and the public in researching and retrieving files and data.
  • Coordinates all program monthly reports, budget, travel, purchases including all purchasing card approvals ensuring that required documents are properly completed and submitted to Finance and Accounting in a timely manner. Follows up on further actions that may be required. Identifies and manages program inventory of properties.
  • Review correspondence and specific items that require action for assigning and tracking section tasks and due dates and recommends response, review or other action.  
  • Serves as a department clerk for Final Agency Actions when needed. 
  • Provides routine assistance to supervisor and management staff that includes setting up meetings, copying, or compiling a variety of technical documents, reviewing forms/draft documents, and mailing. Proofreads, correcting grammar, spelling and punctuation as necessary.
  • Inserts program documents into Oculus as needed.
  • Performs other duties as required.

Required Knowledge, Skills, and Abilities:

  • Knowledge of administrative principles and practices.
  • Knowledge of office procedures and practices.
  • Ability to computer software including applications.
  • Ability of operate office equipment.
  • Ability to understand and follow policy direction and rules applicable to public records requests.
  • Ability to deal with the public in a tactful and courteous manner.
  • Ability to work independently.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to utilize problem-solving techniques.
  • Ability to stand for long periods of time copying and filing.
  • Ability to collect, evaluate and analyze date relative to administrative functions.
  • Ability to learn Oculus
  • Ability to review data for accuracy and completeness.
  • Ability to maintain a valid driver’s license.
  • Capacity to understand procedures for handling State Travel Authorizations and Reimbursement.
  • Acquire knowledge of the Florida Purchasing Card Program.

Required Qualifications:

  • An associate degree or higher from an accredited college or university or 2 years of related professional experience.
  • Proficient using Microsoft Word and Excel.
  • A valid driver license.
