DUTIES AND RESPONSIBILITIES:

This position reports directly to the DOEA Communications Director. This position will serve as the DOEA Communications Assistant, fulfilling duties to support the organization and efforts of the Office of Communications. The duties include, but are not limited to:

  • Review and edit outgoing correspondence and all other outgoing documents (includes letters, memos, annual reports, publicity materials, articles, etc.) at the direction of the Communications Director.
  • Edit materials developed by Communications Office for distribution internally and externally.
  • Assists with social media planning, content creation, goal setting, and metric reporting.
  • Assist in preparation of general Communications Office deliverables, including retrieving data for inclusion in news releases, newsletters, and other external and internal communications.
  • Maintains the Department’s Communications Calendar and supports event planning.
  • Provides administrative support to the Office of Communications when necessary, including office supply orders and scheduling travel.
  • Performs other duties as assigned by the Director of Communications.
  • Attendance is an essential function of this position.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

  • Ability to communicate effectively with others, utilizing active listening, information gathering, organizational skills, critical thinking, time management, problem identification and resolution.
  • Possess strong written and oral communication skills, using correct grammar, punctuation, and spelling; detail oriented and able to enter data accurately into a computerized system.
  • Ability to prepare clear, concise, and accurate records, reports, correspondence, and other documentation in a logical format within established timeframes.
  • Ability to navigate multiple computer screens, applications, and online research engines. Basic proficiency in Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, OneDrive, SharePoint, Adobe and Adobe Pro, and other Department operational systems.
  • Ability to demonstrate a professional and courteous demeanor. Ability to establish and maintain cooperative working relationships with the public and staff. Ability to work independently and with teams at the unit and agency where appropriate.
  • Ability to review, analyze, and evaluate data and process travel documents.
  • Willing and able to make decisions and exercise sound judgment; to accept responsibility for one’s own actions and decisions; to adapt to changes in work assignments, procedures, and technology; and to be committed to improving individual performance.
  • Willing and able to follow written and oral directions and instructions from management; carry out the directives of persons with duly delegated authority; resolve any differences with management in a constructive manner; and accept and abide by management’s direction and decisions.
