Our Organization And MissionThe mission of the Division of Florida Condominiums, Timeshares and Mobile Homes is to provide consumer protection for Florida residents living in the communities we regulate through education, complaint resolution, mediation and arbitration, and developer disclosure. The Division has the power and duty to enforce and ensure compliance with the provisions of statutes we regulate. The Division is comprised of two (2) bureaus, Compliance and Standards and Registration.
The Work You Will DoThis position is located within the Director’s Office of the Division of Condominiums, Timeshares, and Mobile Homes. This in-office position answers phones, directs calls, and assigns complaints received by the Division to appropriate staff. The position handles the division’s mail, including sorting, date stamping, scanning, and delivering.
Your Specific Responsibilities
  • Collect the division’s mail daily, sort the mail, date-stamp the mail, scan the mail, and deliver the mail. Complete the tracking log for any deliveries.
  • Read and assign complaints received through Escalations and Citizens Services to appropriate staff, record the data for the complaints in the appropriate tracking log, and close out the complaints when complete.
  • Receive, investigate, respond to, resolve and maintain data on all inquiries, complaints and disputes between the division, unit owners, boards of directors, board members, community association managers and other affected parties. Encourage, facilitate and attend as a neutral resource, voluntary meetings with and between unit owners, boards of directors, board members, community association managers and other affected parties to resolve issues in order to avoid elevation of the dispute to a formal or administrative remedy.
  • Identify, recommend and develop as appropriate, policies and procedures to assist unit owners, boards of directors, board members, community association managers, and other affected parties to understand their rights and responsibilities as set forth in Chapter 718, Florida Statutes, and Florida Administrative Code.
  • Monitor and review procedures and disputes concerning condominium elections and meetings; draft recommendations for enforcement action to the Division of Florida Condominiums, Timeshares and Mobile Homes. Log and track all division action on any such recommendations.
  • Identify and make recommendations to the Ombudsman for changes in division rules and procedures for the filing, investigation, and resolution of complaints filed by unit owners, associations and managers.
  • Maintain case files and data on all inquiries, complaints and disputes received and processed.
  • Develop and implement a system for reporting data on all activities of the office.
  • Assist in the preparation and distribution of educational and reference materials and resources. Draft correspondence as directed by the Ombudsman or Attorney. Other related duties as assigned.
Knowledge, Skills, And Abilities
  • Knowledge of Chapter 718, Florida Statutes, and the Florida Administrative Code.
  • Knowledge and understanding of the condominium concept form of ownership.
  • Knowledge of Robert's Rules of Order; ability to act as a neutral third party in disputes;.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to gather, document, record and analyze data.
  • Ability to make decisions and solve problems based upon evaluation and reasoning with the data and information accumulated.
Requirements Minimum Requirements :
  • Associate Degree from an accredited college or university and two years of Administrative Office experience OR
  • High School Diploma or the equivalent and completion of a training program to become a legal assistant, a paralegal, or a legal paraprofessional and one year of Administrative Office experience; OR four years of Administrative Office experience.
Preferred
  • Fluent in both English and Spanish
