The Florida Department of Children and Families (DCF) is the state of Florida’s social services agency. Within DCF, the Substance Abuse and Mental Health (SAMH) Program office is recognized as the single state authority for substance abuse and mental health services.

The Office of SAMH is statutorily responsible for the planning, evaluation, and implementation of a comprehensive statewide system of care for the prevention, treatment, and recovery of children and adults with serious mental illnesses or substance use disorders .

Northeast Florida State Hospital (NEFSH) is a 613-bed, licensed mental health treatment facility that provides person-centered services to adults suffering from severe and persistent mental illness.

The hospital, located in Macclenny, was established in 1959 and is the largest state operated civil treatment facility.

This is a highly responsible and professional position that will serve as a Senior Clerk at the Northeast Florida State Hospital.

T his position will collaborate with each section within the state facilities and be required to use independent judgement, take initiative in carrying out duties and responsibilities and should be extraordinarily detail oriented.

Specific Duties and Responsibilities include :

  • Prepares memos, letters, charts, etc., from rough drafts.
  • Types employee documents (i.e., hiring packet forms, requests for pay changes, performance evaluations, travel requests).
  • Responsible for printing State of Florida Applications for requisitions assigned to the Security Department.
  • Maintains files.
  • Collects data for special and / or CQI projects.
  • Analyzes data and prepares statements, reports, and graphs / charts as necessary.
  • Makes independent decisions regarding data accuracy and appropriateness, and communicates information appropriately.
  • Responsible for maintaining leave and attendance records.
  • Ensures timesheets are accurate and complete.
  • Prepares overtime and payroll reports.
  • Submits timesheets and necessary reports to Human Resources in a timely manner.
  • Responsible for opening mail daily and distributing to appropriate staff.
  • Receives and distributes verbal, written and electronic communications / information.
  • Screens telephone calls, answers routine questions or refers customer to others as necessary.
  • Prioritizes and completes special assignments ensuring accuracy, completeness and timeliness of submission to appropriate department head.
  • Compiles research information and tracks due dates for special reports using data entry and work processing skills.
  • Establishes tickler file for correspondence that requires further action and tracks to completion.
  • Assists in planning and research activities and in developing and maintaining special programs to monitor and improve scope and goals.
  • Orders office supplies monthly.
  • Maintains an adequate inventory of supplies for assigned area(s).
  • Performs related duties as assigned.

Knowledge, Skills and Abilities required for the position :

  • Knowledge of general office procedures and practices.
  • Knowledge of correct grammar usage.
  • Knowledge of basic arithmetic.
  • Ability to prepare reports and correspondence.
  • Ability to plan, organize and coordinate work activities.
  • Ability to develop and implement office procedures.
  • Ability to follow instructions.

Minimum Qualifications :

  • Two years of secretarial or clerical work experience.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
  • Vocational / technical training in the area of secretarial science or office / business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
  • A high school diploma or its equivalent can substitute for one year of the required work experience.
