Title: Staff Assistant
Location: Russell Park, 1875 Orange Avenue East, Tallahassee, Florida 32311
Supervisor: Deputy Director, Division of Marine Fisheries Management
Salary Range: $32,000 - $35,000 annually. $1230.77 - $1346.15 bi-weekly
Total Compensation Estimator Tool Working Hours: Monday-Friday, 8:00 a.m. – 5:00 p.m. Eastern Time
Employment in this position is contingent upon a satisfactory criminal history record check. Minimum Qualifications: Three years of administrative or clerical work experience.
College education from an accredited institution can substitute on a year for year basis for each year of the required work experience.
Vocational/technical training in secretarial science or office/business studies can substitute. A high school diploma or its equivalent can substitute for one year of the required work experience
Description Of Duties
  • Maintains inventory of forms and office supplies.
  • Assists in planning and executing business functions of the Division.
  • Supports agency-level efforts to coordinate and improve administrative, operational, and planning activities, includes leading and working on interdivisional teams, and as otherwise needed to support the administrative and operational functions of the agency.
  • Acts as a receptionist, answers and makes telephone calls, relays messages, answers questions from the public, gives information and directions, handles general complaints, or divert matters to appropriate person.
  • Receives and reads incoming mail, screens items which can be handled personally, forwarding remainder to supervisor or section leaders with necessary background material.
  • Maintains tracking system to ensure correspondence, reports and other work is performed in a timely manner.
  • Provides file research and records retention support. Provides assistance with documents in both electronic and paper formats, including prepping and scanning files.
  • Performs related work as required.
Knowledge, Skills And AbilitiesKnowledge of office procedures; correct spelling, punctuation and grammar usage. Knowledge of and ability to: accurately and completely fill out forms and/or reports; act as authorized purchasing agent. Skill in: typing. Skill in and ability to: utilize a computer and software programs such as Microsoft Office Suite; type letters, memoranda and other standard business forms in correct format; organize files and other records; act as office receptionist and handle telephone calls in a courteous and effective manner. Ability to: organize and coordinate work assignments; communicate effectively verbally and in writing; establish and maintain effective working relationships with others; operate and/or utilize a variety of business and office machines to include computer; copier; maintain a valid driver’s license.
