Position Overview

The Illinois Department of Corrections at Hill Correctional Center is seeking a detailed and energetic Office Associate. The ideal candidate will serve as the Office Associate to the Records Office that is providing services for a growing population of individuals in custody. The person selected for this position will perform complex clerical functions, sentence calculations, and a variety of keyboarding and text-editing duties in inputting confidential information into the Offender 360 system. Job Responsibilities

  • Performs complex sentence calculations including revocations/restorations of good conduct credits.
  • Performs various data entry of calculations and time adjustments.
  • Maintains individuals in custody master files.
  • Ensures comprehensive knowledge of computer programs and client server applications such as CHAMPS, ARTS and Disciplinary Tracking.
  • Maintains a flimsy and keeps an accurate account of individuals in custody with both the Available Bed Count and Record Office Count Sheet.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of high school AND two (2) year of related office experience.
  • Requires the ability to keyboard 45 words per minute.

Preferred Qualifications

  • Prefers at least one (1) year of experience in working with confidential material.
  • Prefers at least one (1) year of experience in alpha-numeric sequencing.
  • Prefers at least one (1) year of experience in operating common office equipment such as multi line phone systems, copiers, fax machines, and scanners.
  • Prefers at least one (1) year of experience in troubleshooting common office equipment such as copiers, fax machines, and scanners.
  • Prefers at least one (1) year of experience in using Microsoft Office programs such as Word and Outlook or similar like computer programs for word processing and email.
  • Prefers at least one (1) year of experience in talking to the public about rules/guidelines followed by employer in order to get to an appropriate end result.
  • Prefers at least one (1) year of experience in reading, interpreting, and applying rules and/or guidelines of an organization.
  • Prefers at least one (1) year of experience using basic mathematics in the workplace.

  • Requires ability to pass the IDOC/IDJJ background check.
