The Fiscal Services division at the Office of the Minnesota Secretary of State is looking to hire an Office and Administrative Specialist.

Job duties include:

Daily mailroom tasks: accept and sort incoming mail, pickup and deliver mail throughout the office, and prepare outgoing mail.

Assist with payment entry for Business Services and miscellaneous items received by mail.

Voter registration related tasks and special mailing projects throughout the year. Open voter registration mail for all 87 counties, sort accordingly, and prepare for mailing.

Be the point of contact for deliveries and supply orders. Verify items received and puts items away/delivers to appropriate area.

Perform backup work when requested by the supervisor or lead worker.

**Minimum Qualifications**

Math skills sufficient to compare delivered items to invoice statements and maintain accurate inventories of supplies.

English (speaking, writing, and reading) to understand and effectively carry out oral and/or written instructions.

Word processing sufficient to use software to create, format, edit, print, and save a variety of documents, including spreadsheets and tables.

Data entry sufficient to review and process documents with efficiency and accuracy.

Customer service skills sufficient to perform duties of the position with courtesy, respect, and interest in positive problem solving.

**Preferred Qualifications**

Knowledge of general office equipment including fluent use of the 10 key adding machine, a PC with multiple screen capacity, copy, and fax machines.

Ability to provide effective general and specialized office support (this requires common courtesy and tact).

Experience with mailroom operations.

Demonstrated attention to detail.

Ability to prioritize and meet established deadlines.

Good human relation skills to interact with others, including working with people from diverse backgrounds.

**Physical Requirements**

Ability to work in a seated or standing position for extended periods of time; move items weighing up to 20 pounds on a regular basis; and move/push carts with a push force of 30 pounds. Ability to check-in packages in building's loading dock.
