State of Missouri is Hiring an Executive Assistant to the Deputy Commissioner - Learning Services Near Jefferson, MO

Job Location: This position will be located at 205 Jefferson St., Jefferson City, MO 65101.

The primary responsibility of this position is to provide high-level operational and logistical support to the Deputy Commissioner (deputy) of the Division of Learning Services, Department of Elementary and Secondary Education (department). A person in this classification may have functional authority over employees performing a wide-range of administrative functions and can expect exercise significant discretion and autonomy in the performance of duties. Work is often of a highly confidential and sensitive nature. A person in this classification can expect contact with all levels of department staff, members of the board, members of the legislature and legislative staff, school administrators, and the public.

What you’ll do:

  • Provide operational and logistical support to the deputy.
  • Maintain the deputy’s calendar, email account, and review on a daily basis (remain confidential).
  • Answer the deputy’s telephone and office phones. Use professional telephone etiquette to provide service or to transfer to appropriate Department unit/person.
  • Take minutes for the deputy’s weekly meetings.
  • Assist in the coordination and planning of the Annual Cooperative Conference for School Administrators.
    • Serve as liaison between the conference planner, session, presenters and Department staff for logistics and other details regarding the conference.
    • Prepare contracts for the conference venue and keynote speakers.
    • Monitor up-to-date information regarding the conference registration and billing.
    • Maintain special guest list for luncheon honoring Pioneers.
    • Prepare the guest list with introductions for Commissioner of Education.
    • Work closely with Communications and Media Productions staff to ensure all aspects of conference are covered.
  • Draft and/or prepare and proofread correspondence, emails, spreadsheets, presentations, reports, and Division of Learning Services’ agenda items for the State Board of Education in order to ensure proper format and grammatical structure before submitting to the deputy.
  • Schedule and/or arrange for hotel rooms, meals, conference rooms and equipment, transportation, and other travel arrangements in support of the deputy, and/or staff, schedules, and meeting requirements and location.
  • Prepare expense reimbursement, invoice payment, purchase requisitions, and other forms for appropriate signature before forwarding for processing.
  • Review and approve Division of Learning Services expense reports in MoDocs. Confirm appropriate staff ETA coding and approve the document from Human Resources on a bi-monthly basis.
  • Create and maintain file system (electronic) in order to facilitate retrieval of documents at a later date.
  • Meet with other support staff in order to communicate standards, procedures, disseminate information, or to coordinate effort.
  • Provide backup to the offices within the Commissioner’s office, the Deputy of the Division of Financial and Administrative Services, and the State Board of Education.
  • Prepare personnel requisitions, hire forms, and hire letters for office personnel.
  • Scan final personnel forms into common folder for both deputy offices to use.
  • Review and approve contracts in the Concord system prior to the deputy’s approving.

All you need for success:

Minimum Qualifications

  • Graduation from high school or High School Equivalency.
  • Possess work experience that has prepared an individual to perform the duties of special assistant to upper management.
  • Five years of progressively responsible support tasks of which at least two years involve the direct support to upper management within the department.
