Normal Work Schedule (Other):: Minimum of 37.5 work hours per week. Overnight and field trip travel required. Must be able to work a flexible schedule to include Saturdays.

Job Responsibilities

Reporting to the Director of Upward Bound, the Administrative Specialist is responsible for performing administrative, business/financial management and support services for the Upward Bound division of the college.
DUTIES AND RESPONSIBILITIES:
•Performs a variety of administrative support and office duties, to include, but not limited to, establish and maintains records and files of program participants utilizing database software and spreadsheets to develop and maintain records while maintaining confidentiality. Assign and submit students' MIS Code information to Data Entry Department, submit data on staff members, new and returning students.
•Coordinate travel arrangements for Upward Bound staff under the guidance of grant director. Prepare, maintains, and generates travel records, reimbursement, and expense reports. Prepares purchase requisitions request and maintain office supplies, and materials. Maintains inventory of electronic devices, monitor the distribution of supplies and devices within the department. Responsible for petty cash, reimbursement memos, and minimal fiscal activities as required for day-to-day productivity.
•Responsible for wide variety of office correspondence to include, but not limited to, meeting minutes, ensuring accuracy and proper dissemination of materials to appropriate staff. Assist with Annual Performance Report and Grant Proposal submission processes.
•Prepare student and part time staff time sheets and student stipends. Ensure accurate work time, absences, and student attendance is recorded. Ensure proper submission for reimbursement to staff and students as directed by grant budget. Responsible for coordination of classroom/office space and acts as liaison for department with other College departments. Attend yearly staff development and training. Other duties as assigned and required.
Minimum and Additional Requirements

A high school diploma. Related clerical experience may be substituted for a high school diploma. SBTCE minimum requirements: Associates degree or a high school diploma plus 2 years of related work experience. Selected positions may require the ability to type at a corrected rate of 35-55 wpm and/or basic knowledge of computer operations.
Preferred Qualifications

Prefer a bachelor's degree plus 1-year experience or an associate's degree plus 3 years of related work experience in a related field and/or educational setting. Prefer proficiency with budget/expense management using financial software. Possess the ability to manage database systems such as Blumen and Colleague.
