State of South Carolina is Hiring a Project coordinator Near Spartanburg, SC

Job Responsibilities

The Events and Special Projects Coordinator will provide strategic guidance and leadership in planning and executing high-quality events and functions at the College.

These events will deliver impactful experiences for attendees and align with the College's mission, brand, and campus wide priorities.

This role involves close collaboration with marketing and event leadership from inception to execution. Additionally, the Events and Special Projects Coordinator will manage the College's master event calendar and coordinate event rental spaces for both external clients and internal purposes.

This includes generating hospitality revenue from external clients and tracking event space reservations at the College.

Develop, organize, and execute event plans, including timelines, budgets, and logistics. Coordinate all aspects of both small and large-scale College events, including venue selection, catering, transportation, and entertainment.

Oversee event setup, breakdown, and post-event evaluations. These events should showcase the SCC brand and support multiple internal and external stakeholders, including Enrollment, Outreach, Commencement, the SCC Foundation, College Administration, and Commissioners.

Work closely with Marketing to create and execute marketing plans to promote events and engage with target audiences to boost event attendance and participation.

Establish and maintain relationships with vendors, sponsors, and partners. Collaborate with internal teams and external stakeholders to ensure event success, including staying within the allocated budget.

Address and resolve issues that arise during events promptly and effectively. Implement contingency plans to handle unforeseen challenges.

Ensure the safety and security of event participants and guests.

Maintain detailed event activities, contracts, and communications records. Negotiate contracts and ensure agreement compliance, working closely with the Procurement Department.

Prepares reports and determines metrics for accountability and event success. Prepare and distribute event materials, including agendas, presentations, and attendee lists.

Handle event-related inquiries and provide exceptional customer service. Coordinates, delegates, and communicates the duties required from college constituents to support event development and serves as the point of contact with appropriate external clients from inception through completion of the event.

  • Develop and implement special projects to showcase SCC initiatives and community engagement, which continue to support and build the SSC brand and community presence.
  • Manage and coordinate the rental of campus space at all campuses and College-owned properties. Coordinate and manage the college-wide events calander.

Minimum and Additional Requirements

High School diploma and relevant experience.

Preferred Qualifications

Ability to work independently, communicate with multiple internal and external partners, have strong organizational skills, and execute consistently under strict deadlines.
