Correctional Industries (CI) within the Department of Corrections (DOC) is seeking a highly motivated and qualified individual to fill a permanent Administrative Assistant 3 position. This position is located at McNeil Island Stewardship in Steilacoom, WA. This position typically works Monday through Friday from 6:30 a.m. to 2:30 p.m.

Correctional Industries is committed to maintain and expand incarcerated worker training programs which develop marketable job skills, instill, and promote work ethics, and reduce the tax burden of Corrections. Under the supervision of the General Manager (GM), this position provides administrative support to the GM. This position supports day to day operation by assigning, monitoring, updating Incarcerated Worker payroll, Barge Scheduling, Fuel reporting, and purchasing submittals. This position assists the GM in revising all McNeil Island Stewardship standard operating procedures (SOP) and in drafting internal and external communications.
The Administrative Assistant position supports the objective of Correctional Industries by providing administrative and general business-related services and logistical coordination for the Grounds, Maintenance, Wastewater, Water Distribution and Vehicle Maintenace departments. This position is also responsible for monitoring, and overseeing the Incarcerated workforce files, payroll.

Duties

Duties include, but are not limited to:
Provides business related services in support of the McNeil Island Stewardship (MIS):
  • This position is responsible for facilitating, reconciling, tracking, and documenting all financial transactions of the assigned departments within DOC- CI MIS.
  • Order, receive, store, inventory and issue materials, supplies parts and equipment for
    stewardship use.
  • As the Purchase Card Custodian, reconcile purchases by accessing online banking program statements. Verify shipments; check field orders and purchase orders against packing lists and parts received. Establish and maintain master records lists.
  • Process incarcerated worker payroll on a regular basis, which includes verifying batch
    contents for accuracy, hours, rate of pay, coding, and appropriate approvals. Communicate with stakeholders and incarcerated banking as needed.
  • Maintain MIS vendor clearance list.
  • Maintain the MIS daily barge schedule for accuracy.
Logistical Coordination:
  • Submit clearance checks, and notify appropriate stakeholders (DOC, SCC, and CI) of visitors to McNeil Island.
  • Assist as reservation contact for island barges, publish, and distribute daily manifest for tugboat/barge use to all CI and SCC stakeholders, including but not limited to vessel access, firing range operations and other agencies as needed.
  • Attend meetings and trainings relative to the position and assigned by the General Manager.
Communications/Training Coordinator:
  • In collaboration with CI Communications manager, develop stewardship newsletters and formal written communications to enhance open communication and transparency with staff and incarcerated workers.
  • Independently gather information, organize, and type letters and memorandums for
    approval/signature from the General Manager.
Administrative Services:
  • Provide delegated administrative duties, office management and secretarial functions for the General Manager and Island Operations Manager. Independently prioritizes office workflow for maximum results and efficiency, ensuring confidentiality in all matters.
  • Prepare agendas for the meeting and notify attendees of meeting details. Attend meetings, take notes, and prepare and distribute minutes of the meetings.
  • Review incoming and outgoing files to ensure information is correct and file maintenance compliance per policy.
  • Process files for closure and archiving per DOC Policy.
Other Duties as Assigned:
  • To include but not limited to: participate in office training as it pertains to assigned duties, and act as the interagency liaison for scheduling, corresponding and meetings.
  • Provide backup administrative support to the Island Operations Manager and the Marine Department as requested.

Qualifications

Required Qualifications:

  • High school graduate or GED.
  • Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work. (Formal education can substitute year for year for experience)
  • Computer literate with a working knowledge of Microsoft office products or equivalent software programs.
  • Effective oral and written communication skills in routine and emergent situations.
  • Ability to develop and promote professional interpersonal relationships.
Preferred Qualifications:
  • One year of experience as an Administrative Assistant 2
  • AA degree or higher in business administration, public administration, or closely related field.
  • Experience working in a correctional setting, with Incarcerated individuals.
