The Department of Corrections (DOC) is seeking a highly motivated and qualified individual for the position of Correctional Records Technician at the Washington State Penitentiary.
The Washington State Penitentiary is staffed 24-hours a day, 7-days a week.
Whether the work is inside a prison, in community corrections, or in an administrative office, the Washington State Department of Corrections professional staff experience a high degree of personal satisfaction knowing they are creating environments in which all Incarcerated Individuals can learn to make choices that contribute to a safer society.
The Department of Corrections (DOC), as a partner in the criminal justice system, enhances public safety, administers criminal sanctions and programs in accordance with the law and provides leadership for the future of corrections in Washington State.
The Department consists of the Office of the Secretary, Prisons Division, Community Corrections Division, Administrative Services Division, Health Services Division, Communications Department and Risk Management Department.
The Washington State Penitentiary (WSP) is comprised of 4 Close Custody Units, 3 Special Housing Units, 2 Intensive Management Units, 2 Medium Units, 2 Minimum Housing Units and a Health Services Building. In all, WSP houses approximately 2,000 Incarcerated Individuals and employs approximately 1,100 staff.

Duties

As a custodian of Incarcerated Individuals records, the Correctional Records Technician (CRT) enters, audits and/or ensures the quality control of Incarcerated Individuals sentence structure information to include sentence revocations to be in compliance with state and federal laws, superior court sanctions and agency policies and processes. Verifies and maintains accurate Incarcerated Individuals criminal history record information provided by other criminal justice agencies.
  • Ensures the contents of Incarcerated Individuals records are legal, accurate, and maintained in a secure setting.
  • Utilize, update, and maintain data bases and programs pertinent to information that is relative to Incarcerated Individuals sentence.
  • Establish and validate agency jurisdiction of Incarcerated Individuals .
  • Review and verify accuracy of legal documents relating to convictions and sentencing.
  • Respond to request for public disclosure in compliance with federal and state public disclosure laws.
  • Verify identification of Incarcerated Individuals to law enforcement through pictures, fingerprints, and other physical data.
  • Testify in court as expert witness regarding the validity of Incarcerated Individuals records and identity.
  • Archive Incarcerated Individuals records according to established procedures.
  • Provides direct support to the Correctional Records Manager.
  • Ability to communicate effectively internally and externally.
  • Ability to multi-task, prioritize, and complete work assignments in a fast paced, deadline oriented environment.
  • Requires independent decision making to interpret laws.
  • Maintain confidentiality of information learned through the job performance that is protected by Department of Corrections policy, federal and state laws.
  • Release procedures to include auditing central files, Liberty, Offender Management Network Information (OMNI), and Offender Release Plan (ORP).
  • Ensures all notifications are complete with time lines set by RCW's or policy.
  • Contacts law enforcement agencies or ICE regarding release to jurisdictions.
  • Complete orders of release, sex offender registration when applicable and explain reporting instructions to Incarcerated Individuals .

Qualifications

Required Qualifications:
  • High School Diploma or equivalent
  • Must respect and maintain confidentiality.
  • Demonstrated ability to effectively communicate with co-workers, the public, and/or criminal justice agencies.
  • Demonstrated ability to analyze and solve problems under highly stressful or adverse situations.
Observation - Observes and strategizes personal action based on environmental conditions and human behavior.
Technology - Learns and utilizes computer based applications in the performance of job duties.
Stress Tolerance - Remains calm and rational while handling difficult situations including, but not limited to, volatile, threatening, or other crisis/emergency situations.
Professional Standards - Knows and applies relevant law, policy, procedure, and practice. Adheres to productivity standards and timelines established by law and policy. Identifies own training needs and proactively seeks training opportunities.
Adaptability - Incorporates new information into an existing framework of understanding. Accepts change and supports the Agency through changes in law, policy and procedure.
Preferred/Desired Qualifications:
  • Two years of experience maintaining or processing Incarcerated Individuals records, such as legal files, property files, grievance files, administrative files, medical files, parole files, counselor or custody files, in governmental law enforcement office, court setting or and adult or juvenile correctional agency.
  • College-level course work in criminal justice, business administration, accounting, social science, or a related field will substitute for one year of experience.

  • Tuberculosis (TB) is a priority health issue for DOC employees. The successful candidate may be required to provide valid proof of a baseline TB skin test within 60 days from the date of hire. When positive tests result, further information, testing and treatment may also be required. Employment is not contingent upon test results.
