Bilingual Certification Specialist

As a Certification Specialist, you'll play a crucial role in issuing vital records to individuals and agencies while ensuring accuracy, compliance, and timely delivery. Your primary responsibilities will include reviewing and processing orders, maintaining databases, providing customer service, and participating in quality improvement initiatives.

Responsibilities
:
  • Review, evaluate, and assess incoming vital record orders to ensure completeness, accuracy, and compliance with regulations.
  • Determine applicant eligibility for requested documents.
  • Perform record searches using databases and other resources.
  • Issue vital records to qualified applicants and update databases accordingly.
  • Handle payments using the cash register and credit card reader, ensuring accuracy and security.
  • Reconcile daily receipts and deliver them to the DOH Revenue Department.
  • Utilize online order systems to download orders, ensuring timely processing and payment.
  • Maintain confidentiality and accuracy in all work and communication.
  • Meet expected turnaround times for fulfilling orders.
  • Confirm address information and identify and document discrepancies, contacting customers as needed.
  • Ensure timely shipping and resolve any shipping discrepancies.
  • Investigate order statuses and inform customers accordingly and resolve orders open for longer than 30 days.
  • Provide necessary documentation and information to complete orders.
  • Assist customers with understanding laws, policies, and procedures.
  • Provide professional customer service in person and over the phone.
  • Participate in meetings and collaborate on quality improvement efforts.
  • Review and contribute to updates of forms, policies, and procedures.

Required Qualifications and Experience
:
  • Must be bilingual in English/Spanish - This is a bilingual language position requiring speaking, writing, translating, and interpreting in Spanish.
  • Two (2) or more years of experience in the following:
    • Resolving customer inquiries, problems, or complaints using the phone, email and in-person interactions.
    • Using email software such as Microsoft Outlook to write and respond to messages.
    • Utilizing MS Word to create, format, and edit documents.
    • Utilizing MS Excel to create, edit, organize, and filter spreadsheets.
    • Conducting online research using the internet to find and download information.
    • Using databases including navigating, updating, and researching information.

Preferred Experience and Desired Qualifications:
  • Associate degree or higher in business administration or a related field.
  • Previous experience in an administrative, data entry, or similar role where attention to detail, organization, and multitasking were essential. Experience working in a call center environment.
  • Experience working in a high production/volume environment.
  • Previous experience working in a government agency.
