DSHS ESA Administrative Assistant 3

The Department of Social and Health Services (DSHS), Economic Services Administration (ESA), Community Services Division (CSD), is seeking a full-time Administrative Assistant 3 to join the Everett Community Services Office.

In this role, you will perform complex administrative support duties for the Administrator and CSO management team. As the Administrative Assistant 3, you will establish office procedures, standards, priorities and deadlines, coordinates office operations; organizes workload and establishes work priority to meet schedules and deadlines. This position is also responsible for a wide range of administrative functions such as report preparation; records management; maintaining, monitoring and evaluating purchase and distribution of supplies.

Some of what you’ll do:
  • This position reports to the Community Services Office Administrator (CSOA) and has delegated responsibility for managing office administrative operations
  • Participate in strategic and quality planning process for the Community Services Office (CSO)
  • Monitor compliance with DSHS and ESA administrative policies and controls
  • Perform complex duties using Word, Excel, Visio and Microsoft Office Software to process tasks, merging, sorting and integrating text with graphics, spreadsheets and date files. Proficient in the use of video conferencing to schedule, coordinate and trouble shoot as required
  • Assign and track assignments that originate internally, from Regional Headquarters or the State Office Customer Relations unit. Monitor, coordinate, edit and assure quality of response to ensure internal and external deadlines are met
  • Represent management and provide oversight and expertise for Everett CSO Safety operations, emergency planning and OSHA record keeping
  • Coordinate personnel activities, such as scheduling interviews for hiring new staff, coordinating interview panels, sending and maintaining correspondence and recruitment files
  • Schedule conference rooms and resolve scheduling conflicts
Who should apply
Three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work AND high school graduate or GED.
OR
Formal education will substitute year-for-year for experience.
NOTE: Some positions may require keyboarding or typing accurately at a net speed of 50 words per minute or faster.
Preferred knowledge, skills and abilities:
  • Experience with the following systems/programs: Excel, Visio, Microsoft Word, experience using video conferencing platforms (ex. Teams, Zoom, etc.).
  • Timely and accurately use of multiple computer applications simultaneously
  • Treat customers with respect, courtesy, and professionalism
  • Work as a team member
  • Able to multi-task
  • Work independently
  • Use effective personal, written, and verbal communication skills
  • Respond appropriately to hostile customers
