DSHS ESA Office Manager

The Division of Child Support (DCS) has an opportunity for an Office Manager to join our Central Services unit in DCS Headquarters, located in Olympia. If you have a strong administrative background and can hit the ground running when joining our team, this is an excellent opportunity for you to put your wide-range of office organizational and administrative support skills to work.
You will provide administrative support to the Chief of Central Services and serve as facility coordinator for the unit, and as needed for additional units within DCS Headquarters. Work will also include liaison with the day porter and building management, vendors, and facility maintenance. In addition, you’ll perform records management (i.e. time and attendance, purchasing, travel coordinator, facility access, and other duties as assigned).
Some of what you'll do:
  • Serve as the Administrative Assistant to the Chief; prepare confidential documents involving personnel actions, manage professional commitments for the Chief, schedule meetings and conference rooms, transcribe meeting minutes, liaison between the Chief and staff
  • Serve as Travel card custodian and make travel arrangements for staff
  • Serve as designated Records Custodian; retention, control requirement, and storage
  • Serve as primary envelope and business card approver for the Division
  • Manage large key inventory for meeting and storage rooms, desks, filing cabinets, and all other locked items.
  • Serve as liaison with building management; coordinate maintenance/repair and janitorial for floor housing 120 cubicles, 12 private offices, shared rooms, and common spaces
  • Maintain current building floor plans
  • Provide oversight and direction for inventory, ordering, purchasing, and receiving of equipment and supplies
  • Coordinate equipment repair and serve as point of contact for vendors
  • Arrange pickup for surplus items and records for archive
  • Serve as primary point of contact for coordinating ergonomic assessments for staff; serve as liaison with Enterprise Risk Management, Facilities, and IT to resolve staff ergonomic recommendations
  • Represent unit at building Safety Committee meetings
  • Perform monthly building access audits; coordinate with the IT Security Officer and Card System Coordinator to revoke badge access as needed
  • Serve as backup Time and Attendance Keeper for DCS Headquarters and the Virtual Legal Office
What we are looking for:
  • Ability to plan, organize, and supervise central office service units
  • Ability to achieve results in a fast-paced and rapidly changing environment
  • Ability to troubleshoot problems and creatively find solutions
  • Extensive experience with office organization, methods, and management principles in both large and multiple locations
Who should apply?
Professionals with keyboard proficiency at 40 WPM, one year of experience in State service as an Administrative Assistant 2, Human Resource Assistant 2, or Data Compiler 3
OR
Two years in State service as an Administrative Assistant 1, or Human Resource Assistant 1, or equivalent involving supervisory or office management responsibility
OR
A Bachelor's degree involving major study in business administration or closely related field AND one year of supervisory experience involving responsibility for planning, organizing and coordinating work in a business office.
Additional qualifying experience will substitute, year for year, for education.
