Mail Processing-DriverCoyote Ridge Corrections CenterThe Department of Corrections is seeking a highly motivated and qualified individual to fill a permanent position for a Mail Processing-Driver at Coyote Ridge Corrections Center. COYOTE RIDGE CORRECTIONS CENTER (CRCC) is located on a 60-acre site about 40 miles north of the Tri-Cities. CRCC is comprised of two-complexes. The Medium Security Complex (MSC) is a 2,048 bed facility that houses Incarcerated Individuals (I/I) with Medium and MI3 Custody. MSC consists of 4 Hybrid units and 4 Medium units. The Minimum Security Unit (MSU) is a 480 bed facility that houses assisted living and MI2 Custody I/I. MSU consists of 2 units. This is a work/program orientated facility that offers many educational, vocational, and self-help programs and Class II and Class III Correctional Industries work programs. Whether the work is inside a prison, in community corrections, or in an administrative office, the Washington State Department of Corrections professional staff experience a high degree of personal satisfaction knowing they are creating environments in which all Incarcerated Individuals can learn to make choices that contribute to a safer society.*NOTE: This job posting may be used to fill future vacancies.
EXAMPLE OF DUTIES
Under the direct supervision of the Mailroom Sergeant, the duties include, but are not limited to: Screen 100% of all incoming and outgoing first-class mail, Incoming and outgoing electronic messages, bulk mail, periodicals, and packages - Visually scan all incoming and outgoing items for contraband and other threats to facility security.Identify offender legal mail and contact the sending legal entity to verify the legal mail is legitimate. Once, verified log the legal in the tracker and place the Incarcerated individuals on the legal mail callout.Log, open and inspect offender mail and packages to ensure conformity to all applicable policies and guidelines: remove money orders for separate processing.Identify, catalog and report contraband initiate rejection notice, and Disciplinary process as required.Reject restricted items in accordance with DOC policy 450.100.and provide a rejection notice to the incarcerated individual and the sender. Complete Incarcerated individuals appeals request on the facility and Headquarters level.Maintain electronic and physical mailroom records including mail rejections, publications rejections, incoming offender property receipts, incoming incarcerated individual funds, allowed offender to offender correspondence offender no contact orders and offender letter translations.Maintain electronic and physical mailroom records including mail rejections, publications rejections, incoming offender property receipts, incoming incarcerated individual funds, allowed offender to offender correspondence offender no contact orders and offender letter translations.Sort and process all Institutional and Incarcerated individual mail and out of the institution in accordance with United States Postal Service regulations and DOC policies and procedures - Sort and separate incoming Incarcerated individual and staff mail ensuring mail is sent to the correct housing unit or the staff members assigned work location.Verify the Incarcerated individual is still housed at CRCC and if not forward the mail to the individual’s current facility or primary address listed in OMNI.Record all incoming money orders in the tracking system and forward receipt to the offender and route money orders to the CRCC Business office.Remove enclosure such as Social Security cards, marriage/birth/death certificates, and visitor questionnaire and forward for processing/retention.Enter incoming Incarcerated individual packages the electronic tracking system.Register incoming books into database generating receipt to be sent with the book and placing the electronic label that displays the Incarcerated individual name and DOC on the inside cover for each publication.Place approved items in the assigned slot, bin and/or bags for deliver to Incarcerated individual housing units and staff work locations.File and retain mail for Incarcerated individual that have temporarily left the facility.Forward mail for 90 days for those individuals that are housed in another facility or have left DOC custody by verify in OMNI.Receive sort and document outgoing offender mail and packages prepare for delivery to or pick up by the United States Postal Service or other shipping services.Log and store offender items when there are insufficient funds to ship or that have returned to the facility as undeliverable. When, an item is returned the Incarcerated individual will be notified by using the KIOSK messaging system and or there assigned case manager.Deliver and collect mail and packages including bulk, insured, registered, certified, legal and regular mail - Accurately identify incoming staff and offender mail and packages, and deliver to the intended office, building or unit.Conduct secure deliveries of sensitive items/evidence to outside departments.Collect outgoing mail and packages from units, offices, buildings for mailroom processing.Use hand trucks, dollies, and mail carts to transport materials.May operate motorized vehicles to deliver and collect, may drive to the local post office to pick up and deliver offender and staff packages.Provide information, answers inquiries, and resolve routine problems - Provide customer service to DOC stake holders, outside agencies, and the public. Respond to inquiries and resolve complaints from the Incarcerated Individuals and their family members,respond to offender kites and Kiosk communications. Respond to offender replies to mail rejection notices and take appropriate action in accordance with applicable polices and laws. Respond to staff inquiries and requests for information regarding mail services and process. Initiate Disciplinary process when serious contraband is found. Answer calls and forward messages as appropriate. Assist with Public Disclosure requests by obtaining information from the incarcerated individuals Central File, OMNI, Counselor, and other Institutional sources. Assist with responding to grievances as delegated.Operate, adjust, and maintain electronic equipment for the screening, mailing, and shipping of packages - Weigh and apply postage to outgoing mail and packages using electronic label making and postage stamp machines. X-ray and log incoming and outgoing mail and packages. Apply correct charges to outgoing mail and packages. Apply correct charges to outgoing mail and packages for offenders and staff using electronic mail mater shipping systems. Make recommendations for adjustments repair and purchase of equipment. May inspect, clean, analyze, troubleshoot, and perform minor repairs on mailing equipment and machines.
