Office of the Deputy Secretary – WCC Records Unit Shelton, Washington

This position is not eligible to telework. 

The Washington State Department of Corrections is seeking a highly motivated and qualified individual to fill a permanent Office Assistant 3 (OA3) position within the Washington Corrections Center (WCC) Records Unit located in Shelton, WA. This recruitment may be used to fill multiple vacancies over the next three (3) months.
 
Washington Corrections Center is located 35 miles west of Olympia, the state capital. WCC is the Reception and Diagnostic Center, a close-custody facility with the primary responsibility to process, test, and classify all adult male felons sentenced to prison in Washington State. The facility has seven living units and houses 1,700 incarcerated individuals. There are about 500 incarcerated individuals screened and assessed each month. WCC is also the major hub for transfer of incarcerated individuals to and from facilities throughout the state.

We are looking for evidence in your application materials that you have the experience, skills, and abilities indicated in this job posting. As part of the WCC Records Unit Team, this position independently performs a variety of complex clerical projects and assignments at the facility. The OA3 provides manifests of all incoming individuals from county jails to include DOC violators; assists with intake of all individuals transferring out and thru WCC, archives hard copy legal files, provides fingerprint cards with current prison convictions to Washington State Patrol for every individual sentenced to prison, provides manifests of facility to facility transfers, manages all court orders for incarcerated individuals to appear.  
 Work Assignments Include:

  • Process information for all incoming movement
    • Analyze and research information on all incoming individuals from county jails making determination on commitment type.
    • Complete and post daily lists of incoming individuals to WCC SharePoint.
    • Assign DOC numbers and update OMNI.
    • Communicate and coordinate with DOC Transportation, county jails, HQ Violator's Desk, and WCC Receiving to ensure correct individuals are coming to WCC.
    • Review Notifications from WSP and FBI and enter personal information missing in OMNI. FBI numbers, SID numbers, AKA names, AKA Date of birth and social security numbers. 
  • General Office Duties
    • Answer phone in a professional manner, providing answers when possible and transferring calls or taking messages when needed.
    • Familiarity with legal Records documents in order to file in central file, route appropriately or scan in the OnBase system.

  • Central File Desk
    • Prepare and process Central Files for transport, release or archive.
  • Incoming Desk
    • Process information for all incoming movement.
  • Court Order/Release Desk
    • Process information for all outgoing movement.
  • Scan Desk
    • Process and index documents.
  • Fingerprint Card Desk
    • Prepare and process fingerprints and Central Files.
  • Receiving/Intake
    • Prepares for daily incoming admissions: ID sheets
    • Assist in processing incoming transport by interviewing incarcerated individuals, taking photos, and making identification cards.
  • Other duties as assigned. 
    • Other duties as assigned by the Correctional Records Manager, Correctional Records Supervisor or Correctional Records Technician Lead.
    • Respond to incoming correspondence such as kites, kiosks and Combined DNA Index System (CODIS).
    • Back up other OA3 Records Desks during leave or vacancies.

  • High School diploma or equivalent.
