We are searching for an Office Business/Traffic Coordinator for our Spokane, Washington office. The ideal candidate is a hard-working professional able to undertake a variety of sales and office support tasks and work diligently. This person will be comfortable working with a high degree of attention to detail and discretion. Candidate can expect to perform general office duties including reception tasks receiving and distributing office mail and email, answering the office phone and distributing calls, other duties include maintaining office accounts receivable information, and greeting our listeners and clients in an enthusiastic, inviting, and professional manner.

Responsibilities include but are not limited to

· Organize office and assist associates in ways that optimize procedures

· Collaborates with management, Account Executives and Sales Support to ensure commercial spots are executed in accordance with contract provisions.

· Works closely with the Production Director in scheduling and tracking cart numbers, ensuring scheduled commercial production.

· Writes commercial production orders for National Accounts/ABS and Network spots as needed

· Prepares and organizes barter affidavits.

· Develops and maintains close working relationships with management, Sales and Programming team members regarding clients and orders.

· Follows daily traffic procedures—entering orders, printing confirmations, scheduling logs, building and messaging logs, sending logs to programming system, managing bumped spots, make-goods, filing orders, etc.

· Assists with organizing and preparing monthly billing reports including, but not limited to, standard broadcast calendar and co-op billing, typing scripts, stuffing envelopes, etc.

· Assists Business Manager and General Manager with various tasks as requested.

· Sort and distribute communications in a timely manner

· Create and update records ensuring accuracy and validity of information

· Reconcile daily payments/deposits from clients, manage reporting.

· Handle all incoming bills and invoices and routing to appropriate departments.

· Work with Corporate on daily Accounts Payable & Receivable functions.

· Pull weekly aging and past due accounts and work with clients on resolution

· Assist General Manager and sales staff with order entry, sales proposals and sales projects.

· Maintain reporting for and tracking all trade orders.

· Resolve office-related issues and respond to requests in timely manner

· Coordinate with other departments to ensure compliance with established policies

· Maintain trusting relationships with clients, colleagues and listeners

· Perform general receptionist duties

· Pull and distribute appropriate reporting to management, sales, and clients.

· May back up other Traffic Coordinators when sick or on vacation, and receptionist when needed.

Requirements

· Proven experience as an office business assistant, accounts receivables clerk, radio traffic or in another relevant administrative role

· Working knowledge of office equipment

· Excellent organizational and time management skills

· Analytical abilities and aptitude in problem-solving

· Solid understanding of basic accounting principles

· Proven ability to calculate, post and manage accounting figures

· Excellent written and verbal communication skills

· Proficiency in MS Office & Excel

Education

· High School Diploma

· Some college or an Associates/Bachelor’s degree in related field.

Pay: $20.00 - $21.00 per hour

Expected hours: 40 per week
