Steward Medical Group - North is Hiring an Office Coordinator Near Easton, MA

Summary:

Under supervision, serves as liaison between the physicians, office support staff, and the Practice Manager. The Practice Coordinator is responsible for assisting the Practice Manager with all day-to-day operational, administrative, and fiscal aspects of the CMG physicians’ offices. The main responsibilities include performing and overseeing all administrative activities, including but not limited to, improving on functions of patient flow, appointment management, registration, cash collection, charge entry, controlling managed care issues, medical records and inventory control. Serves as an immediate contact for all internal and external customers. Works independently to resolve issues in a timely manner. Interacts with individuals at all levels within the office and the organization. In conjunction with the Practice Manager, creates an effective team, which emphasizes quality management and efficient, cost-effective operations.

Job Relationship:

The Practice Coordinator reports directly to the Practice Manager, but interacts administratively with the clinical staff and administrative staff.

Authority:

Has the authority to carry out the directives of the Practice Manager along with the authority to carry out the day-to-day activities involved in the operation of a physician practice within the overall boundaries of the CMG policies and procedures.

Duties and Responsibilities:

  • Ensures efficiency and productivity with respect to administrative and clinical functions of the office. Daily monitoring of physician and patient activity in the practice; allocates resources to necessary tasks and set priorities. Reports any problems in this area to the Practice Manager immediately.
  • Responsible for accurate registration, scheduling, confirmation, and billing functions. Makes recommendations for improvements/enhancements to registration, scheduling, and billing procedures.
  • Manages the oversight and audit of encounter forms for completeness, accuracy, batching, and prompt distribution to billing.
  • Responsible for daily oversight and reconciliation of co-payment and cash collection to maintain daily CMG average of 90%.
  • Triages patient complaints for the office, working with appropriate management personnel to resolve issues that arise.
  • Responsible for monitoring missing charge reports.
  • Oversees ordering all necessary supplies and equipment for the practice. The procurement process shall include payment requests, on-line supply ordering, and reconciliation of AP payments.
  • Under the direction of the Practice Manager, responsible for the training and on-board processing of all new employees.
  • Assists Practice Manager with Payroll and payment of Invoices.
  • Assurance that all “Best Practice” initiatives are followed.
  • Maintains patient confidentiality according to CMG and hospital standards.
  • All other duties as assigned.

Qualifications:

  • Minimum Education: HS Diploma, Associates or Bachelors Degree preferred, but not required. Relevant work experience may substitute for degree requirements.
· Minimum Experience: Must have 2-3 years experience in a healthcare environment.
  • Minimum skills/abilities: Must have excellent written and verbal communication skills, and a strong desire to work as part of a team. Must be able to multi-task and prioritize daily activities. Must have a thorough understanding of billing, information systems, and knowledge of medical terminology and HIPPA requirements. Proficiency with computers and window-based products. IDX experience preferred.
