Office Administrator Wanted

Position: Office Administrator
Location: Stinson, Lasswell & Wilson, L.C.
Type: Full-time

About Us:

At Stinson, Lasswell & Wilson, L.C., we pride ourselves on maintaining a professional and efficient work environment. Our firm emphasizes family law but does practice in other areas such as criminal defense, probate, estate planning, and administration. We are seeking a committed Office Administrator to join our dynamic firm and contribute to our ongoing success.

Essential Duties & Responsibilities:

  • General Accounting: Prepare monthly, quarterly, and annual financial reports. Reconcile all bank accounts. Manage month end and year end reporting, journal entries, and related items.
  • Payroll Administration: Ensure all employees are timely and accurately paid. Ensure that withholdings for taxes, insurance, etc. are paid to the appropriate authorities/companies.
  • Accounts Payable/Receivable: Process firm expenses for goods or services received and ensure that all invoices are timely paid, conduct monthly client billing, aid in collection procedures.
  • Information Technology: Work with the firm’s IT consultant to identify and resolve computer issues, ensure all software is up to date firmwide, ensure all PCs and laptops are in working order, and maintain firm’s replacement plan for old and outdated equipment.
  • Filing System: Develop and oversee the maintenance of a comprehensive filing system, both digital and physical, ensuring legal documents are easily accessible and secure.
  • Confidentiality: Handle sensitive information in a confidential manner, ensure data protection and compliance with legal and firm policies, and ensure that all firm personnel observe confidentiality standards.
  • Office Management: Ensure the office runs smoothly, provide general support to clients, and manage firm communications effectively.

Additional Duties & Responsibilities:

· Staffing Management: Assist in recruitment, retention, and management of employees.

· Personnel Records/Files: Maintain and organize personnel documents.

· Benefit Programs: Oversee annual open enrollment of insurance, retirement, non-compensation, and mandated programs.

Requirements:

  • Experience: Proven experience as an office administrator, office assistant, or in a relevant administrative role, preferably in a law firm or legal environment.
  • Technical Skills: Familiarity with legal software billing systems and case management systems is a plus.
  • Time Management: Excellent time management skills and ability to prioritize work. Ability to handle multiple tasks simultaneously and meet deadlines.
  • Attention to Detail: Strong attention to detail and problem-solving skills. Ability to produce high-quality work with minimal supervision.
  • Communication Skills: Excellent written and verbal communication skills. Ability to interact professionally with all levels of staff, clients, and vendors.
  • Organizational Skills: Strong organizational skills with the ability to multi-task and manage competing priorities effectively.
  • Education/Experience: Bachelor’s degree required. Proficiency with Office 365, including Outlook, Excel and Word. Proficiency with TABS preferred.

What We Offer:

  • Competitive Salary: Anticipated salary of $50,000 to $75,000, commensurate with experience and qualifications. This position is bonus eligible.

Job Type: Full-time

Pay: $50,000.00 - $75,000.00 per year
