We are searching for a growth and details inspired professional to join our team as an Office Manager. You will initially execute and then lead First Impression Management, Event Success, Client Onboarding, Fee Confirmations to support a rapidly growing firm. To be successful, you will have the experience and expertise to perform the proper combination of client service and insurance related operations to scale and deliver on our client promises.

This role is a full-time position works from our El Segundo, CA office and reports to President and CEO.

Essential Job Functions:

-Strong interpersonal and communication skills to effectively interact with clients

-Ability to perform administrative tasks and then lead as firm continues to grow

-Proficient in using financial software and tools for data analysis and reporting

-Provide exceptional customer service and address any client concerns or questions

-Track, manage and complete key client service level agreements

-Coordinate deliverables with service partners and proactively manage outcomes

-Ability to type at least 60 words per minute

-Excellent time management skills with a proven ability to meet deadlines

Primary Responsibilities:

-Greet all clients/prospects and as team grows responsible for first impression management

-Manage Inbound and Outbound Calls to deliver on our desired client experience

-Coordinate all activities and client contacts for successful workshops and seminars

-Assist and support financial advisors with data gathering and specific tasks

-Workflow development and key data accuracy/entry to proactively manage client lifecycle

-Collaborate with other professionals, such as platform partners and carriers, for new client onboarding and ongoing support

-Process accounts payables and receivables, prepare monthly reports and reconciliations

-Train new employees on office systems, workflows, and procedures

-Policy reviews

Qualifications:

-Minimum of 2 years of experience as an office manager or similar role

- High school diploma or equivalent required; Associates degree in office administration or related field preferred

-Proficient with Microsoft Office Suite or related software

-Strong knowledge of insurance related workflows and procedures

-Previous experience in financial services, public accounting, or banking is preferred

Physical Requirements:

-Prolonged periods sitting at a desk and working on a computer

- Must be able to lift up to 30 pounds at times
