Strategic Insight, Ltd. is seeking a Junior or mid-level Administrative and Documentation Specialist (Staff Associate)position in support of the Naval Surface Warfare Center Dahlgren Division (NSWCDD) Aegis team Program Director V department. Job location is Dahlgren, King George, VA.

Mandatory Requirement: Applicants selected for this position may be subject to a Government Security Investigation and must meet eligibility for access to classified information at the Secret clearance level.

Originally established in 1918 as a naval proving ground for testing gun weapon systems, NSWC Dahlgren Division has evolved to focus on advances in technology in Warfare Systems Development and Integration. The NSWC Dahlgren Division is a leading research, development, testing, and engineering (RDT&E) organization within the Department of the Navy.

Responsibilities include but are not limited to:

  • Provide program and project management support to Aegis Program Director (PD), Aegis Deputy PD and Aegis Chief Engineer (CHENG), as assigned,
  • Create and maintain action item tracker,
  • Compile and archive weekly inputs for all projects,
  • Develop, coordinate, and maintain calendar meetings/schedules (Outlook) for Aegis PD and Aegis CHENG,
  • Schedule MS Teams meetings and reserve conference rooms at local locations for PD/CHENG,
  • Create and update Power Point Briefs as required by Aegis PD,
  • Update briefing slides to ensure they have the appropriate portion markings and formatting,
  • Developing and maintaining charts and data spreadsheets (Excel),
  • Attending weekly meetings and provide meeting minutes (Word),
  • Update and maintain multiple program Wiki pages, 
  • Use Jira to track actions and task with the development cycle of each program, 
  • Attend Weekly Financial and Weekly Risk Review meetings and provide meeting support,
  • Schedule and provide meeting support for monthly and quarterly financial reviews with IWS 1 and schedule Aegis Program Reviews as required,
  • Take notes as required or use Transcription in Teams and send out to the Aegis PD and Aegis PM Team, and 
  • Manage/update Aegis Confluence Database Page
    • Upload Risk summary, 
    • Upload and maintain Org Charts,
    • Update and Maintain Collaboration Meeting Pages – meeting details, briefs, AI,
  • Schedule All Risk Review Boards for Aegis CHENG
    • Assist in the review and update of the Aegis Risk Management Plan, and
  • Additional duties as required by support of Aegis PD and Aegis CHENG

Success for working in this position requires:

  • Ability to effectively communicate and work with NSWC Dahlgren Division and Department staff at all levels, consultants, and other government staff – be a team player,
  • Ability to work with sensitive and classified information,
  • Ability to work with NMCI systems,
  • Ability to adapt and multi-task,
  • Ability to work with a high degree of independence, discretion, and personal initiative,
  • Self-starter, goal oriented, provides timely feedback on progress made on assignments,
  • Excellent organizational skills: ability to prioritize and coordinate multiple tasks, handle complex assignments, maintain status across several stakeholders, and work in a fast-paced environment,
  • Excellent oral, written, and telephone communication skills,
  • Proficiency with MS Office (Outlook, Word, Excel, and PowerPoint) including the ability to create and maintain spreadsheets, prepare presentation slides, and produce customized reports, and
  • High degree of attention to detail and accuracy in completing assignments, including good proof reading, grammar, and analytical skills.

Education and Experience:

  • Associate’s degree in a business-related field is preferred,
  • Proficient to expert level user of Microsoft Excel, Project, Power Point, and Word,
  • Three (3) years (mid-level) or One (1) year (junior) general experience in collection and arrangement of information used to formulate complex reports, presentations and similar documentation,
  • One (1) year of experience providing support for a Navy program office, Field Activity, or contractor. Experience should demonstrate organizational skills as well as efficient time management and the ability to multi-task, and
  • Good oral and written communications skills and well as proficiency in the use of Microsoft Office software applications.
