Stretch Zone is Hiring a Studio Coordinator Near Chapel Hill, NC

PositionUnder the supervision of the Studio Owner, the Studio Coordinator will lead our client relations efforts and oversee the staff’s daily activities at the Apex and Chapel Hill locations. The role is essential for the day-to-day operations of the studio(s) and besides keeping the studio owner well informed on important client concerns, projects and other important matters, you will also be in charge of scheduling, training, studio maintenance, and assisting with coordinating all events / programs at the studio. The broad objectives for this position are: ensuring the efficiency and effectiveness of the day-to-day operations, promoting excellent client service, responding to client inquiries and scheduling, staff training and hiring assistance, and representing the Studio Owner and/or Regional Manager in a diplomatic and professional manner.
The ideal candidate friendly has experience providing high-level support, building and establishing relationships, demonstrates technical stretch aptitude, can handle complex and sensitive matters with tact, and is able to plan, prioritize and manage multiple tasks in a fast-paced setting while promoting business growth.
Essential Duties And Responsibilities
  • Deliver 5-star customer service to all clients and guests
  • Undertake all receptionist and clerical duties at the desk of our main entrance
  • Make and schedule client appointments
  • Perform opening and closing procedures (as needed)
  • Create and ensure a hospitable, clean and inviting environment, including but limited to: demo preparation set-up and clean-up, general tidying up of reception area, break and bathroom(s), etc.
  • Ensure minimum prospecting calls are being met (minimum 75 calls/day per studio)
  • Ensure all scheduled appointments are confirmed for the day
  • Enforce and implement all studio policies, procedures and quality/service standards
  • Enter, track and report on studio KPIs on a daily, bi-monthly, monthly and quarterly basis; send required reports to Management as needed
  • Compose and prepare reports and other documents (some of which may with a highly sensitive and confidential nature), with support, or approval from the Studio Owner/Regional Manager as needed
  • Generate emails and social posts to promote studio programs/promotions or events
  • Ensure adequate coverage of all offerings or in the case of a practitioner’s absence or studio closing (due to weather or sickness), implement and execute an appropriate plan for offering a make-up session or other compensation to clients
  • Communicate essential information in a timely and clear manner to staff and team leaders
  • Work with the Studio Owner or Regional Manager and stakeholders in Marketing to optimize program marketing and awareness
  • Track, create and/or maintain an inventory of studio and promotional supplies
  • Supervise assigned staff and manage personnel-related activities or information as needed
  • Plan, coordinate or update staff work schedules to ensure operational quality and efficiency
  • Conduct first screen interviews with potential employee candidates
  • Assist with performing new employee orientations, training and/or onboarding of new & existing employees regarding studio operations and policies
  • Other duties as assigned by studio owner as needed
Mandatory Knowledge And Skills
  • Candidate will approach the position as a representative of the Owner, displaying respect for the studio, members, and co-workers
  • 2-3 years’ experience with at least 2 years of full-time office management experience in a related field
  • Must be proficient in Stretch Zone techniques, processes and procedures
  • Must be able to manage time effectively
  • Must have a flexible schedule (able to work some evenings and weekends as needed)
  • Proficient knowledge of all standard operating procedures and policies as outlined in the operations manual
  • Proficient in computer software including Microsoft Word, PowerPoint, Excel and Outlook
  • Proven ability to effectively manage, train and supervise a diverse staff
  • Forward thinking and creative individual with high ethical standards, positive attitude, self-initiative and ability to work independently
  • Excellent communication, interpersonal, customer service and basic math skills required
  • Excellent communication and problem-solving skills
  • Exceptional organizational skills
  • Reliable and willing to adapt to a changing environment
