Your Mission: As a Director of Executive Services, you'll play a pivotal role in ensuring the smooth operation of Administration offices by overseeing administrative functions and providing leadership to our team of administrative staff and directly support the Chief Executive Officer. This role acts as a key liaison between the CEO and other departments within the organization. It is responsible for managing special projects, conducting research, and preparing reports for the CEO.
This position requires strong organizational skills, attention to detail, excellent communication abilities, and the ability to effectively manage and motivate a team. The ideal candidate is a strategic thinker able to manage initiatives and prioritize in a fast-paced environment with a passion for driving efficiency and maintaining a positive work environment.

Key Responsibilities:
  • Team Management
    • Interprets requests and takes appropriate action. Evaluates level of information and notifies executive leadership if/when appropriate. In the absence of senior leadership, directs and ensures that requests for action or information are relayed to the appropriate staff member.
    • Supervises and leads a team of administrative staff at all corporate office locations.
    • Communicates job expectations while providing guidance, training, and support to ensure the team meets performance goals and delivers high-quality service.
  • Administrative Operations
    • Manages the CEO's calendar, appointments, and meetings, ensuring efficient scheduling and coordination.
    • Acts as the primary point of contact between the CEO and internal/external stakeholders.
    • Prepares and reviews reports, presentations, and correspondence on behalf of the CEO.
    • Oversees office operations, including facilities management, office supplies, and vendor relationships.
  • Communication and Compliance and Implementation
    • Drives effective communication between key stakeholder groups and ensures information flow is efficient and effective.
    • Serves as the primary point of contact for internal and external stakeholders, addressing inquiries and concerns in a timely and professional manner.
    • Researches and gathers information and other background materials as required by the executive for daily meetings and presentations. Gathers background information for sensitive and/or confidential reports.
  • Financial Management
    • Assists with budget planning and management, including expense tracking, forecasting, and variance analysis.
    • Creates, reviews, and approves invoices, expense reports, and purchase orders in accordance with company guidelines.
    • Identifies cost-saving opportunities and implements strategies to optimize resource allocation.
Your Qualifications:
  • Bachelor's degree in business administration or related field required.
  • 10 years of experience in executive support, strategic planning, or project management, with a significant portion in a leadership role.
  • Experience working in non-profit organizations.
  • Expert level knowledge in Microsoft Office Suite with strong technical skills and abilities.
  • Experience with budget management and financial analysis.
