DESCRIPTION

Provides data management, client intake and client information tracking for individuals and families in a recovery community living in transitional housing program. Track client services, case notes, intakes, and discharges. Track all grant, county data points to report back to funders. Provides data required for program evaluation. Assist with multiple contract fulfillment, ensure maintenance of equipment, ordering of supplies, inventory, and quality of services. Provide comprehensive administrative support, data entry and analysis of data, and customer service. Be a support and resource to families as they pursue goals of long-term housing, and family reunification goals.

MINIMUM QUALIFICATIONS

AA or Bachelor’s degree or equivalent or 2-3 years of related experience working in data management and/or accounting, experience serving people with alcohol and/or drug addictions; medical service provision or medical billing experience.

HOURS: Full-Time/some evenings and weekends

RANGE: $24.81 – $25.80 Full Time

Principle Responsibilities:

The following responsibilities represent the essential functions of the position. An employee in this classification is responsible for carrying out the following functions.

Provide intake services, assessments and acquire approval for move-in from homelessness to property. Work closely with Monterey County Behavioral Health, and homeless service providers for referrals.
Maintain, process, and analyze reports and information required for staff, Behavioral Health, Housing Authority of Monterey County and Agency program evaluation. Maintain and verify program records, databases and files, including client records, client attendance, and case files.
Assures culturally competent communications with persons served, funding sources, staff, and management and assures quality services are provided in a timely manner.
Participates in the development and implementation of the agency/program planning effort including the data collection and implementation of agency and client goals.
Assures collection and accurate presentation of County Behavioral Health goals.
Oversees accuracy and timeliness of billing, funding, State Alcohol and Drug Program compliance, inventories, and various internal and external reports.
Acts as a resource for alcohol and drug addiction information, treatment, education, and/or prevention, program development, community activities, acts as a liaison between program services and the community, including community volunteers.
Assures compliance with agency administrative policies and procedures; compliance with all safety regulations; compliance with all client confidentiality requirements.
May perform special projects or other duties as assigned to assure the efficiency of the program.

Required Knowledge, Skills, and Abilities:

1. Proficiency in Excel, Microsoft Office, and various databases including HMIS Homeless Management Systems, Avatar, Netsmart MyEvolve, or other EHR Databases.
2. Proficiency in Information Technology systems, computer software installation and updates, computer hardware troubleshooting, Telehealth, and Electronic Health Records Management
3. Ability to communicate effectively and provide excellent customer service.
4. Ability to facilitate systems and checks to assure delivery of quality service and product to internal and external customers.
5. Knowledge of the principles of data management, program planning, fiscal management, fair employment practices, regulations, safety, health and client rights
6. Ability to observe, evaluate, document and communicate verbally and in writing
7. Knowledge of alcohol and drug addiction treatment and prevention programs
8. Ability to communicate and lead in a culturally competent and sensitive manner.

Physical and Environmental Conditions:

Time spent sitting, using a computer station, periods of intense concentration, using the telephone, paperwork. Some time spent in meetings, travel to various work site locations throughout the County. Some exposure to outdoor weather and environmental conditions.

NOTE: Employees will be required to be fingerprinted, screened for tuberculosis, and trained in CPR & First Aid.
