Summary: This position requires a qualified courteous individual who is who is results-oriented and deeply passionate about growing their career in the Food Manufacturing Industry. As the office coordinator you will be responsible for maintaining all personnel files, data entry, assisting employees with benefit enrollment as well as answering designated requests for information. In addition, the position will be responsible for event scheduling/coordination, corresponding through email, corresponding with government agencies and other administrative duties as needed. This position requires strong attention to detail, problem solving skills, great follow up and the ability to meet deadlines. You will be working with numbers on a daily basis so strong math skill are a plus. The ideal candidate will be comfortable with Outlook, Excel, multi-line phone systems, filing, and faxing and the ability to support diverse projects for other associates. Essential Duties and Responsibilities: Responsibilities: • Welcomes visitors, determines nature of business, and announces visitors to appropriate personnel. • Personable with good communication skills • Maintain the highest levels of customer care while demonstrating a friendly and cooperative attitude. • Answers main telephone system as well as retrieve messages from voicemail forwarding them to the appropriate personnel. • Concise and accurate message taking. • Update appointment calendars and schedule conference rooms. • Typing correspondence, filing, copying ordering supplies, data entry, sending and receiving faxes, sorting mail and other administrative tasks as assigned. • Control, Orders, receives, and maintains office supplies. • Maintaining the copier and other office equipment. • Provide assistance with meetings which may include organizing and setting up meeting room(s), etc. • Pick-up and deliver mail, parcels, copy jobs and faxes. • Demonstrate flexibility in satisfying customer demands in a high volume, production environment. • Maintain a clean organized work space. • Assist HR manager with administrative HR tasks. • Maintain utmost confidentiality as it relates to the HR tasks. • Prepare and compile reports for special projects and assignments. • Maintain all logs and report documentation as required. • Provide assistance with verifying the accuracy of invoices, including coding and approving for A/P processing. • Willingness to take on any new challenges daily. • Candidate must be motivated, organized, detail oriented, able to work with a diverse workforce and comfortable working in a multi-task environment.Key Accountabilities: To perform the job successfully, an individual should demonstrate the following competencies: • Strong attention to detail. • Ability to work independently with minimal supervision or with a team. • Competency in performing multiple functional tasks. • High degree of accuracy. • Ability to organize and prioritize. • Read and understand written information. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.• Must be able to keep a good attendance record • Must have accurate record keeping and legible handwriting • Must be able to troubleshoot and resolve issues as it applies to the role • Must follow all GMP's and Safety Procedures established by Management • Ability to access a situation and make quick and accurate decisions that will aid in production. • Must have ability to work with basic mathematical concepts such as addition, subtraction, multiplication and division. • Must have excellent communication skills, both written and verbal. Education: High school diploma or equivalent required.Experience: At least 1 year of human resources, customer service or related experienceKnowledge and Skills: Candidate must possess a strong working knowledge of HR compliance and systems. Outstanding verbal, written, multi-tasking and presentation skills. Ability to create momentum and foster organizational change. Must be proficient with MS Excel software and other analytical tools. Experience with Ceridian and Oracle Fusion is beneficial. Working knowledge of business, computer and math, preferred. The candidate must be able to work effectively in a team-based environment, set priorities to meet deadlines, handle multiple tasks, and make decisions under pressure.
