Do you have proven exceptional administrative and organizational experience? Are you great at multitasking? Join our team! Surry County Sheriff’s Office is seeking to fill an Executive Assistant position. This position serves as the primary administrative support for the Sheriff’s Office.

The Executive Assistant will be responsible for administratively supporting the Sheriff and staff in a fast-paced law enforcement environment. The candidates must possess solid organizational, record keeping, analytical, and communications (i.e., writing and verbal) skills and must be detailed oriented with high-level of accuracy. The candidates must possess strong relationship and customer service skills to conduct friendly communications and interfaces with public including high-level executives, vendors, and staff. The candidates must also be able to work independently or under supervision depending upon the task. At a minimum, the individual must be experienced in using Microsoft Office products/tools (i.e., Word, Excel, PowerPoint, Publisher, and Outlook).

Responsibilities and Duties

  • Must be organized, detailed oriented, hardworking, dedicated & have good work ethics.
  • Proficient verbal and written skills, with great phone etiquette.
  • Solid computer, grammar and multi-tasking skills.
  • Must be able to communicate efficiently and effectively with the public, and co-workers.
  • Computer knowledge, with computer skills especially with Microsoft Office Suite and learn customized computer programs.
  • Time management and decision-making skills.
  • Reads, research, and routes correspondence by drafting letters and documents.
  • Collects and analyzes information to assist with various office administration projects.
  • Maintains all supply requisition and related purchases; verifies receipt of supply.
  • Maintains office equipment.
  • Performs daily assessment of the office needs.
  • Research vendors and contractors for pricing.
  • Assists with onsite or offsite events.
  • Assist with and prepare annual budgets.
  • Knowledge of human resources and payroll record-keeping.
  • Ability to make appropriate decisions based on established guidelines.
  • Ability to handle confidential information.
  • Ability to adapt to changing work priorities.
  • Ability to use word processing, spreadsheet and computer systems software.
  • Ability to perform duties under deadline pressures.
  • Manage accounts payable/receivable.
  • Ability to maintain complex records, and to prepare reports from such records.
  • Ability to understand filing and data retrieval systems.
  • Ability to handle the receipt and processing of office paperwork and records.
  • Ability to bring significant items in reports, files, and correspondence to the supervisor’s attention.
  • Supporting management staff and preparing correspondence.
  • Be accessible to staff after hours.
  • Perform any other duties designated by the management.

Minimum Qualifications

Considerable experience in office operations, administrative processes and secretarial field, accounting and procurement procedures. Strong computer skills including word processing, e-mail, spreadsheets, database management and graphics software applications. Calendaring, answering phones, record keeping, ordering supplies, and oral/written communication skills required. Demonstrated ability to plan, organize, manage, and perform multiple priorities in a fast paced environment while giving special attention to detail. Demonstrated ability to establish and maintain positive working relationships with all levels of professionals, elected and appointed officials, and the general public. Position requires the ability to handle confidential information. Graduation from high school or equivalent, with supplemental courses and training in office practices/procedures or business administration. Considerable administrative and secretarial experience involving diverse responsibilities.

Required Qualifications:

  • 3 years using MS products (i.e., Word, Excel, Publisher, PowerPoint, Outlook)
  • 3 years of Administrative Assistant experience
  • Undergraduate degree or equivalent combination of education and work experience.
