As a dynamic and growing organization, we are seeking an organized and proactive Administrative Coordinator to join our team and help streamline our operations.

Position Overview:

The Administrative Coordinator will be responsible for providing comprehensive administrative support to ensure efficient and effective office operations. This role involves managing daily office activities, coordinating meetings and events, and handling communication with various stakeholders.

Key Responsibilities:

  • Collaborate closely with project managers to assist in preparation of proposals and other client-related materials
  • Manage various workflows relating to COIs and vendor package requests
  • Coordinate with team members to provide administrative support, ensuring organization and efficiency
  • Manage contact management database, including updating and adding contact information as necessary
  • Provide general office support including copying, faxing, filing and office errands
  • Coordinate maintenance of office facilities, equipment and equipment supplies
  • Keep copiers and printers stocked with paper and ink cartridges
  • Assist in scheduling, calendaring and confirming tasks, activities and appointments
  • Arrange travel, hotels, and transportation
  • Complete special projects as assigned by management
  • Receptionist backup – answering phone calls: ensuring they are redirected to the appropriate team member. Process incoming client checks for deposit, maintain sufficient levels of office and janitorial supplies, re-ordering as necessary.

Qualifications:

  • Education: Associate or bachelor’s degree in business administration, or related field preferred.
  • Experience: Minimum of 3 years of administrative or office management experience.
  • Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
  • Communication: Excellent verbal and written communication skills with strong attention to detail.
  • Organization: Exceptional organizational and multitasking abilities, with a proactive approach to problem-solving.
  • Adaptability: Ability to work independently and as part of a team in a fast-paced environment.
