Position:Receptionist
Location: Marsden Park
Hourly Pay Rate: $41.11 per hour super
Duration:Temp Assignment - 3rd June 2024 to 2nd August 2024
Our ClientOur client is a proud Australian company that has been at the forefront of designing and building world-class air conditioning technology since 1984.
OverviewWe are seeking a dynamic Receptionist / Administrator with at least 2 years of experience in a similar role. Your strong customer focus, exceptional office administration skills, and ability to handle a multi-line phone system will be critical to your success. .This role will be based on site 5 days/38 hours a week at their head office in Marsden Park.You must possess highly effective communication skills, the ability to plan and prioritize tasks, and the capability to work with minimal supervision. A positive, proactive approach and a willingness to learn are essential.
Key ResponsibilitiesReception Duties
  • Maintain a clean, organized, and presentable reception area, reflecting a professional company image.
  • Respond promptly and courteously to all incoming calls, transferring calls, taking messages, or screening as necessary.
  • Accurately record and distribute messages to relevant personnel in a timely manner.
  • Greet all visitors warmly, ensuring they sign in and assisting as needed. Announce guests to internal staff and provide refreshments when appropriate.
  • Manage the distribution and return of Hi Vis Visitor Safety Vests.
  • Keep informed about the whereabouts of office personnel throughout the day.
  • Ensure mail and daily banking are ready for courier collection, and sort internal mail for staff.
General Administration
  • Manage company stationery orders, maintaining adequate stock levels.
  • Keep the phone list updated.
  • Distribute received faxes via email.
  • Enter consumer warranty cards for client products.
  • Set up intranet logins for customers upon Sales team requests.
  • Date stamp and forward accounts payable invoices for processing.
  • Mail sales invoices, statements, and payment advices daily/monthly.
  • Organize receipt collaboration and send to the credit card portal monthly.
  • Sort and distribute mail each morning.
  • Order and store milk deliveries.
  • Coordinate with cleaners to maintain adequate cleaning product stocks.
  • Arrange servicing and repairs of office hardware.
  • Reconcile Australia Post mailing statements and pricing invoices monthly.
Cross Functional Support / Training
  • Assist other company personnel as requested and approved by the Customer Care Manager.
  • Support the Executive Assistant with company travel bookings as needed.
  • Undertake additional duties and responsibilities as required.
  • Participate in on-the-job training for others and any appropriate training programs.
  • Prepare and maintain stock for monthly BBQs.
  • Monitor and book meeting rooms via Outlook.
  • Assist in restocking kitchens with tea, coffee, and other supplies.
  • Organize catering for meetings and visitors as needed.
  • Continuously seek potential improvements in task completion methods.
Successful Candidate - Experience And Characteristics RequiredThis role operates with a degree of autonomy in setting daily work priorities within agreed goals.
Qualifications & Experience Characteristics
  • 2 years of experience in a similar role
  • Certificate III in Business Administration or higher (desirable)
  • Experience working a busy reception desk
  • Intermediate skills in Microsoft Outlook, Excel, and Word
  • ERP Software experience, particularly with Microsoft Dynamics (desirable)
  • Work both independently and collaboratively.
  • Demonstrate initiative and deliver on projects.
  • Understand issues and propose resolution options.
  • Review procedures and processes for improvement recommendations.
  • Think innovatively and be willing to try different approaches.
