As the Office Manager, you will report directly to the owner of a growing company and play a central role in managing the daily care of our clients and sharing our message with the community. You will serve as the primary point of contact to ensure smooth daily coordination between clients and caregivers and will be the first impression of our company to both new clients and new caregivers, upholding our highest standards of integrity and customer care. The ideal candidate will have experience in home care or home health office administration and human resources. Your ideas and contributions can help shape our future!

Key Responsibilities:

- Maintain the daily integrity of our home care services, including handling client inquiries, addressing caregiver needs, coordinating staffing for new cases, and staying informed about caregiver availability.

Customer Focus:

- Ensure internal or external customer perspective drives strategic priorities, business decisions, organizational processes, and individual activities.

- Effectively resolve customer concerns through consistent use of the problem resolution program.

- Achieve customer referrals regularly and recurringly and strive to be above the company average.

- Maintain a commitment to say “YES” and the courage to say “NO” only when needed.

Business Development and Top-Line Growth:

- Identify and build relationships within the local area to drive business into the community.

- Hold the Director of Business Development accountable for the community’s daily contact goal.

- Ensures the community has an effective external business development strategy, with clear accountabilities assigned, and can articulate results and adjust plans accordingly to maximize referral leads.

- Holds the Director of Business Development and other community leaders accountable for a predetermined number of quality visits and establishes appropriate referral sources, resulting in new business.

- Establish and maintain relationships with referral sources, including hospital case managers, assisted living facilities, skilled nursing/rehab facilities, home health agencies, hospices, physicians’ offices, fiduciaries, etc.

- Represent the agency and conduct presentations at community events, networking events, vendor, and trade fairs to generate business leads

Financial Management:

- Strives to improve profitability year after year in line with owner expectations.

- Prepares and adheres to the company’s budget.

- Ensures budgeted revenue is achieved.

- Reviews monthly financial statements and implements plans of action for deficiencies.

Qualifications

· A college degree is preferred.

· Previous management experience (hiring, coaching, performance management, daily operations supervision, and leading a team through change).

· Previous sales experience preferred.

· Demonstrate success in managing operating expenses.

· Ability to handle multiple priorities effectively.

· Ability to delegate assignments to the appropriate individuals.

· Excellent written and verbal skills.

· Proficient in organizational and time management skills.

· A passion for senior care and client service.

· Ability to establish rapport and build trust both with company staff as well as with referral sources and prospective clients.

· A desire to take a leadership role in growing the business.

· Self-motivated with the ability to thrive with minimal direct supervision.
