Job Summary:
The Administrative Assistant will provide high-level specialized clerical and administrative support services to executive leadership and designated senior leaders or team members who manage sensitive and/or confidential information and decisions.
Supervisory Responsibilities:
- May train other administrative, clerical, and secretarial staff.
Duties/Responsibilities:- Provides high-level administrative support and assistance to Executive Leaders and/or other assigned leadership staff.
- Performs various secretarial, clerical, and administrative duties, but with specialized attention to the fact that the information, decisions, and communication involved may be sensitive or confidential.
- Prepares confidential reports such as statistical and financial reports for distribution.
- Maintains and files confidential records, contract negotiations, federal and state registrations, certifications, and licensure, financial documents, executive and investor communications or documentations, and any notes and data related to those files.
- Transcribes legal documents and confidential reports; acquires official signatures as required.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
- Arranges travel and accommodations for executives.
- Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
- Receives incoming communication or memos on behalf of executives and senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
- Performs office tasks, including maintaining records, ordering supplies, and performing basic bookkeeping.
- Performs additional duties as assigned by executives.
Required Skills/Abilities:
- Ability to maintain confidential and sensitive information.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
Education and Experience:
- A high school diploma is required; a bachelor's degree in business administration or finance-related field is preferred.
- At least three years of related experience is required.
