Overview:

As a Parts Room Supervisor, you will oversee the efficient operation of our maintenance parts room, ensuring that all inventory is accurately tracked, replenished as needed, and distributed to maintenance staff in a timely manner. You will be responsible for managing a team of parts room clerks and coordinating with various departments to meet the organization's maintenance needs effectively.

Responsibilities:

Inventory Management

  • Process weekly MRP
  • Assist maintenance manager process annual service contracts for plant equipment.
  • Monitor open purchase order report and take proper action.
  • Resolve invoice discrepancies.
  • Analyze systems to optimize stock levels, pricing, reorder points, and procurement processes.
  • Conduct regular audits and physical inventory counts to reconcile inventory records and identify discrepancies.
  • Facilitate company strategies for storeroom improvements.
  • Assist internal customers locate parts.
  • Utilize inter plant transfers as needed.
  • Manage any discrepancies, damages, or shortages in inventory.
  • Obtaining quotes for new parts, supplies & services.
  • Track and communicate monthly MRO spend.
  • Work closely with maintenance manager on upcoming capital projects to identify recommended spare parts for new equipment and removal of obsolete spare parts.
  • Assist maintenance planner update equipment BOM.

Procurement & Vendor Management

  • Collaborate with procurement department to source and procure maintenance parts and supplies from approved vendors.
  • Negotiate pricing, terms, and contracts with suppliers to obtain competitive pricing and favorable terms.
  • Monitor vendor performance and maintain relationships to ensure timely delivery and quality of goods.
  • Partner with Corporate Engineering on Plant Projects to create POs and help track parts when they come in.

Team Leadership & Development

  • Hire, train, and supervise parts room clerks, providing guidance, coaching, and performance feedback as needed.
  • Schedule staff assignments and coordinate workload distribution to ensure efficient operation of the parts room.
  • Foster a positive and collaborative work environment, promoting teamwork, accountability, and continuous improvement.

Process Improvement and Optimization

  • Develop and maintain storeroom SOPs to ensure accurate tracking of parts and supplies and provide training to maintenance and plant personnel.
  • Drive cost savings initiatives, reengineering, and parts consolidation,
  • Develop storeroom housekeeping audits following 5S methodology.
  • Identify opportunities to streamline parts management processes, reduce waste, and improve efficiency.
  • Implement best practices and standard operating procedures for inventory control, receiving, issuing, and replenishment.
  • Develop, track, and communicate key performance indicators and drive continuous improvement initiatives.

Collaboration & Communication

  • Partner with maintenance supervisors, technicians, and other departments to understand maintenance needs and priorities.
  • Communicate effectively with stakeholders to coordinate parts availability, prioritize requests, and address any issues or concerns.
  • Participate in cross-functional meetings and projects to support organizational goals and initiatives.

Safety & Compliance

  • Develop and manage storeroom weekly housekeeping audits following 5S strategy.
  • Adhere to all safety protocols and procedures while handling and storing maintenance parts and supplies.
  • Ensure compliance with regulatory requirements and company policies regarding inventory management and procurement practices.Participate in periodic safety training sessions and contribute to the overall safety culture of the organization.
Qualifications:
  • Bachelor's degree in supply chain management, logistics, business administration, or a related field; or equivalent work experience.
  • Experience in inventory management, procurement, or parts room management, preferably in a manufacturing or industrial setting.
  • Strong leadership and managerial skills with the ability to motivate and develop a team.
  • Proficiency in inventory management software or systems; advanced knowledge of Microsoft Excel for data analysis and reporting.
  • Excellent organizational, analytical, and problem-solving skills with attention to detail.
  • Effective communication and interpersonal skills; ability to collaborate with cross-functional teams and external stakeholders.
  • Knowledge of safety regulations and best practices related to parts room operations.

Working Conditions/Environment:

Works in a manufacturing environment where the employee is regularly required to speak, read, sit, stand, walk, climb, crouch, lift, reach, grasp and bend while moving about the facility. Must be able to lift up to 50 pounds and carry that weight up to 25 feet at various frequencies and or intervals. Must be able to stand for an 8 10 hour shift (sometimes longer) with regular breaks while performing repetitive tasks. May be required to work overtime and/or weekends as needed. The employee may be exposed to non-ambient temperatures, odors, dust, oil, slippery floors, moving parts/equipment. Ear protection, eye/face protection, hair/beard nets, steel-toed/slip-resistant shoes, and gloves are required as necessary in accordance with company GMP and safety standards.
