Bargaining Unit: Non Represented - Professional

Rate of Pay: $36.19/hour DOE

Summary
The Information Technology Operations Administrator supports the Director of Information Technology to seamlessly orchestrate the IT group's business and technical operations. This multifaceted position combines director level organizational administrative duties side by side with varying degrees of technical expertise. Collaborates closely with various departments, coordinating resources, and provide essential support to both Senior Leaders and end-users.

Essential Duties and Responsibilities

  • Senior Leader Support: Provides direct administrative support to the Director I.T., including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication Management: Handles incoming and outgoing communications on behalf of the Director I.T.
  • This includes emails, phone calls, and other correspondence.
  • Meeting and Event Coordination: Plans and coordinates meetings, conferences, and other events.
  • Prepares necessary materials and ensure all participants are informed.
  • Project Assistance: Assists the Director I.T. with strategic projects, including research, data analysis, and preparing presentations.
  • Confidentiality: Maintains strict confidentiality of sensitive information, in compliance with HIPAA and other regulations.
  • Policy Implementation: Assists the Director I.T. in the development and implementation of IT policies and procedures. Ensures they are communicated across the organization and adhered to.
  • Budget Management: Assists the Director I.T. in managing the IT department’s budget.
  • This includes tracking expenditures, forecasting costs, and identifying opportunities for cost savings.
  • Vendor Management: Coordinates with IT vendors and service providers. Ensures contracts are up-to-date and services are delivered as per the agreement.
  • Reporting: Prepares regular reports on IT operations for the Director I.T. This includes reports on IT projects, system performance, and IT incidents.
  • Training Coordination: Coordinates training programs for the IT department to ensure all staff are up-to-date with the latest technologies and IT best practices.
  • Risk Management: Assists the Director I.T. in identifying and managing IT risks.
  • This includes developing risk mitigation strategies and disaster recovery plans.
  • Innovation: Stays abreast of the latest trends in healthcare IT and suggest innovative solutions to improve efficiency and patient care related to IT operations

Minimum Education/Experience
Bachelor's Degree or equivalent experience in a healthcare setting and 1-2 years relevant experience

Other Experience/Qualifications

Required:

  • Proven experience in an administrative/technical role, preferably in a healthcare setting.
  • Strong organizational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and other business software.
  • Understanding of healthcare regulations, including HIPAA.
  • Experience establishing first tier support organizations to assist the greater I.T. team
  • Driving the creation of shared knowledge for users and staff
