Tait Towers is Hiring a Coordinator - Project Delivery Near Lititz, PA
Position Purpose TAIT provides end-to-end solutions for our Clients, from blue-sky ideation, to production realization, to operational staffing and ongoing support. As a member of the Project Delivery Team, the Coordinator provides daily support to Project Directors and project team members, as assigned. This role is responsible for direct support and coordination of a broad range of administrative and project management functions required for the ongoing effectiveness of the Project Delivery Team. Minimum Qualifications To perform the essential responsibilities, individuals must have the following level of education and experience, or equivalent combination. Additionally, the following certifications, knowledge, skills, or physical requirements are necessary for the position.
High School Diploma, or GED equivalent
Familiarity with, or willingness to learn, common communications and project management tools, such as MS Office Suite, Google Suite, Asana, Slack, Box, Airtable, Epcior, Concur
Ability and willingness to travel internationally
Ability and willingness to modify working hours to support Project Directors and/or Project Team
Passion for live entertainment production
Working Conditions and Physical Effort The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is required to frequently walk, bend, climb, push, pull, twist, squat, stoop, and kneel each day.
Work conditions may involve moderate exposure to unusual elements such as dirt, dust, fumes, unpleasant odors, and/or loud noises
Work environment involves some exposure to hazards or physical risks which require following basic safety precautions
Must be able to wear and properly utilize appropriate personal protective equipment (PPE) to work within or visit areas where required. This includes, safety glasses, reflective vest, ear plugs, steel toed shoes, and other PPE as required by the location
Essential Responsibilities / Accountabilities
Provide administrative support to Project Delivery Team
Maintain Project Schedules in various formats, both internal and client facing
Maintain project folders and Slack channels
Ensure project Invoice Tracker and Payment Schedule remains up-to-date
Coordinate internal and external resources assigned Deliverables to ensure work on schedule
Meeting scheduling, including note recording, distributing, and saving in an organized manner for future recall
Vendor management including outreach, ensuring NDAs are in place, comparing quotes
Project research, as assigned
Participate in ensuring project financial reporting remains up to date
Conduct project related research
Maintain and update other project documents as assigned
Organize and support Project Directors' daily activities such as reminders, folders, to-do lists, research, and notes to accompany appointments and events, as assigned
Booking meals, including ensuring dietary needs/restrictions are met
Perform assigned duties according to the policies and expectations prescribed by the company.
