At TalentWealth Recruiting we assist independent Wealth Management firms across the country in hiring top professionals to join their practices. Our client in Denver is seeking an experienced and exceptionally sharp, motivated, and detail-oriented Operations Associate to join their team to provide proactive in-office support to financial advisors and assist with efficient, quality client service in a boutique office environment.

JOB SUMMARY:

The Operations Associate plays an integral role on a Financial Advisor’s team by facilitating communication and appointments with clients and preparing documentation related to the delivery of financial services. The position focuses on the day-to-day management of the Advisor’s practice to ensure maximum effectiveness, allowing the Advisor to focus energy on client relationships.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Administrative task assistance, including making and confirming appointments, record-keeping, pre-filling insurance applications, and other arrangements as needed.
  • Deliver excellent client services by preparing timely and precise communications such as emails, reports, and other correspondence.
  • Oversee social media and marketing for the advisor and manage other business development opportunities.
  • Cross-check notes for accuracy, compliant language, and enter them into the client’s records.
  • Oversee and assign tasks to team members from client meetings.
  • Create referral lists and maintain client referral log.
  • Create and maintain compliant electronic client folders.
  • Oversee and maintain Client Record Management.
  • Assist in meeting preparation and proposal generation.
  • Create financial plans, illustrations and prepare recommendation sheets for the advisor to present in client meetings.
  • Place prep materials into client presentation books.
  • Manage key client touchpoints such as birthdays, anniversaries, policy change dates, and policy reviews.
  • May assist with the underwriting process.
  • Calendar management, confirming and scheduling client meetings.
  • May perform other duties as assigned.

QUALIFICATIONS:

To perform this job successfully, the individual in this position must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the minimum knowledge, skills, and ability required.

  • Bachelor’s degree preferred.
  • 2 years of professional experience, preferably in the insurance industry.
  • Series 7 and Series 63 license (or ability to obtain within the first year of employment).
  • Strong customer focus, excellent listening skills and attention to detail.
  • Proficient in MS Office (Excel, Word, PowerPoint).
  • Desire to further education and credentials.
  • Ability to work in a fast-paced environment.
  • Excellent oral and written communication skills and the willingness to work with other teams to meet and exceed goals.
  • Highly developed degree of personal organization and ability to multi-task.
  • Strong sense of professionalism and discretion required.
  • High degree of helpfulness and willingness to serve as a resource.
