Job Description: Mentor Coordinator

Program: Fostering Aspirations: Mentor Engagement (FAME)

Location: 711 N Kentucky Avenue, Lakeland, FL 33801

Type: Full-Time (9AM to 6 PM, Monday through Friday)

Overview: The Tampa Bay Academy of Hope’s goal is for all young people to realize their full potential and to thrive in our innovation driven economy and society. The Fostering Aspirations: Mentor Engagement (FAME) Program aims to empower and support youth ages 10 to 17, through one-on-one and/or group mentorship, providing them with the guidance, skills, and confidence needed to achieve their personal and academic goals. FAME strives to foster positive relationships and community connections that inspire youth to realize their full potential. At the Tampa Bay Academy of Hope, we are committed to creating a nurturing environment for both our staff and the communities we serve.

Key Responsibilities:

  1. Mentor Recruitment:
    • Collaborate with local partners and community organizations to boost mentor volunteerism.
    • Craft and execute effective recruitment strategies to draw a diverse pool of qualified mentors.
    • Organize and lead mentor orientation and training sessions to prepare mentors for their roles.
  2. Match Relationship Monitoring:
    • Keep in constant touch with mentors and mentees, tracking the progress and health of their relationships.
    • Offer guidance, support, and resources to both mentors and mentees to enrich the mentoring experience.
    • Swiftly address and resolve any issues or challenges that arise within mentor-mentee matches.
  3. Community Engagement:
    • Seek out and develop opportunities for mentoring activities in the community that support the objectives of the FAME Program.
    • Work closely with local entities, including schools and community leaders, to widen the program's influence and effectiveness.
  4. Activity Calendar Management:
    • Create and maintain an accessible weekly calendar of mentoring activities, ensuring a range of options to meet different interests and availability.
  5. Documentation and Reporting:
    • Accurately document mentor and mentee profiles, the progress of matches, and participation in activities.
    • Provide all required documentation in a timely manner, which may include client follow-up, feedback, outcome evaluation, participant contact paperwork, and evaluations.
    • Create a complete file for each mentor to include background screening, identification, proof of vehicle insurance, and all other required documentation.
    • Manage records efficiently to ensure they are up-to-date and securely stored.

Expectations and Goals:

  • Achieve a yearly target of recruiting, training, and retaining at least 125 mentors.
  • Enhance the quality and effectiveness of mentor-mentee relationships.
  • Foster a supportive, engaging, and impactful mentorship environment.

Qualifications:

  • Demonstrated experience in program coordination, preferably in mentorship or related fields.
  • Strong interpersonal, communication, and organizational skills.
  • Ability to work effectively with diverse groups of people.
  • Proactive problem-solving skills and the ability to manage multiple priorities.
  • Proficiency in data management, documentation, and reporting.
  • Commitment to the mission and values of the Tampa Bay Academy of Hope.

Required Goals include:

  • Mentoring Rate – 80% of participants in the mentoring program shall receive mentoring services for at least one school year or one full year.
  • Mentor Recruitment:
    1. Conduct at least three to five group mentor recruitment events each month.
    2. Conduct at least 25 to 30 individual recruitment sessions per week.
    3. Provide at least 125 ongoing mentors to the FAME program each year.
  • Mentor Training
    1. Provide mentor orientation and training at least twice a month. There must be a Saturday session training available at least once per month.
    2. Provide ongoing mentor quarterly training.
  • Mentor-Mentee Events
    1. Plan at least one mentor-mentee event each month. These events should be maintained on a calendar at least three months prior to the event.
    2. All mentors should be provided with a calendar for upcoming events for participation with their mentee.
  • Participant Retention
    1. Provide follow up with each mentor at least bi-monthly for engagement and retention.
    2. Provide at least one annual recognition event for participating mentors.

Founded in 1996, the Tampa Bay Academy of Hope has assisted over 2,500 youth and their families with leadership training, counseling, referrals, mentoring, job placement, nurturing skills, and scholarship development.
