Job Description
The Receptionist will perform the following duties:
Answer telephone, screen and direct calls
Track inventory, order office supplies and break room supplies, and ensure that supplies never run out
Take and relay messages
Provide information to callers
Greet all persons entering the office
Direct visitors to correct destination and provide directions
Handle queries from the public and potential clients
Provide general administrative and clerical support as needed
Prepare letters and documents as requested
Receive, sort and distribute daily mail
Receive, route messenger deliveries upon receipt
Maintain calendar of conference rooms
Tidy and maintain the reception area at all times
Tidy and maintain the copy room
Tidy and maintain the kitchen area in the morning and in the evening
Prepare conference rooms for meetings and tidy conference rooms after meetings
Additional Duties:
Runs -
Pick up P.O. Box mail in the morning and at 3 pm each day
All other office runs, including banking, dropping off and picking up documents, etc.
Filing -
Filing for everyone in the office. Be sure that the filing is done correctly and placed in the proper folder.
Pleading Indexes must be updated each time something new comes in the office.
Scan and save pleadings once they are filed with the Court.
Keep the file room neat and the files alphabetized.
Open/Closing Files -
Will be required to open and close file when requested
Copy/Scan/Etc. for the office
Will be required to do the copying and scanning when requested.
Requirements / Knowledge / Skills
Minimum of 2 years experience in law office
Maintain a professional demeanor
Customer service oriented
Initiative, reliability, and stress tolerance abilities
Verbal and written communication skills
Professional personal presentation
Organizing and planning skills
Attention to detail
Knowledge of administrative and clerical procedures
Knowledge of computers and relevant software applications or the ability to learn
