SUPERVISOR: Property Manager
JOB SUMMARY: The Facilities Manager responds to emergency situations on a 24-hour basis. The Facilities Manager supervises the Handymen, Concierges and the Porter Staff, conducts the building preventative maintenance program, performs in-unit and common element repairs, in response to owner requests, and oversees the building house-cleaning operation. The Facilities Manager maintains proper inventory of supplies and materials needed for maintenance and housekeeping. The Facilities Manager assures compliance to all Federal, State, Local and Association policies, relevant to operation of the Building and Common areas.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Assures compliance to all Federal, State, Local and Association policies, relevant to operation of the Building and Common areas
  • Supervises and assigns the Handymen Concierges and the Porter Staff. Orients and trains staff as required. Oversees the work, evaluates performance and provides needed feedback and coaching. Recommends appropriate disciplinary action to Property Manager
  • Responsible for scheduling all federal, state and local inspections on sprinkler & fire systems, electrical, plumbing, pool, etc...
  • Works with Property Manager on devising & implanting a building emergency safety plan. Ensures that all staff are trained in this procedure. (i.e., Fire, flood, electrical or gas outage, hurricane and storms, etc.)
  • Investigates, evaluates, and responds appropriately to all alarms including smoke, fire, emergency, or intruder
  • Responds to emergency repair situations (e.g.: plumbing & sanitary, electric, accidents, roofing, water lines, etc.)
  • Responsible for outside building vendors for electrical, plumbing, HVAC, cleaning, etc
  • Knowledge of fire protection, equipment, and maintenance (sprinklers, pumps, alarms) but does not perform repairs
  • Contact appropriate on-call vender representatives and if needed, emergency services
  • Operates the air conditioning system. Recognizes and diagnoses HVAC system operation
  • Completes routine repairs to common elements, ordering parts and materials as required
  • Responsible for building tools and equipment. Keeps a log of tools, equipment & supplies
  • Checks on and responsible Garage maintenance and safety equipment
  • Pool maintenance and equipment, including heating, filtration, furniture, cleaning, water level, water testing, etc
  • Oversees all in unit construction. Handles paperwork and is responsible to make sure unit owners have all proper paperwork including but not limited to alteration agreements, permits, licenses and insurances
  • Oversees performance of contractors who perform routine housekeeping tasks (brass, landscaping, carpet cleaning, etc.) Where appropriate, evaluates vendors, suppliers and sources
  • Confirms that routine housekeeping and porter operations are completed including, carpet cleaning, trash collection, dusting, polishing, etc.)
  • Responsible for and orders building cleaning supplies
  • Maintains proper inventory of maintenance and housekeeping supplies, materials and track usage. Operates the manual inventory system
  • Conducts preventative maintenance, schedules and performs periodic building inspections and submits property inspection reports to Property Manager
  • Conducts minor repairs to plumbing, electric, roofing
  • Rides the elevators daily, recognizing any elevator problems and reports such to the Property Manager
  • Keeps Property Manager fully informed of any problems, maintenance, or emergencies
  • Assists Property Manager with prioritizing building projects
  • Handles all daily logs, paperwork for common area work performed, including swimming pool in season
  • Coordinates and oversees building moves-in, moves out, and deliveries
  • Responds to resident questions, concerning all areas of concern
  • Performs the duties of the Property Manager during absences or vacation to the extent possible
Other Daily Duties
  • Checks HVAC UNITS operation in the morning and throughout the day
  • Checks all equipment daily for adjustments or needed repairs assigned to staff members, maintenance staff, or contractors
  • Handles all daily logs and paperwork
  • Performs any other duties as may be assigned by Property Manager
  • Assigns duties to Handymen and porters. Prioritizes, Implements, supervises, assigns, and follows up
