Fire Department Administrator

New Holland, PA

  • Join an award-winning Volunteer Fire Company committed to serving our community members in times of crisis
  • Serve as the lead administrative manager for the fire department
  • Oversee our two paid staff members and handle all day-to-day operations
  • Manage all incoming emails, phone calls, and personal visits
  • Schedule appointments for the Chief and Deputy Chief
  • Coordinate and follow up with state and federal grant applications by collecting necessary documents and reports and communicating with agencies
  • Communicate with local municipalities about department needs and upcoming events
  • Participate as the department's recording secretary in board and some committee meetings
  • Record donors and donation amounts and maintain our donor database
  • Coordinate correspondence with donors and area businesses to encourage donations
  • Track our progress on our strategic 1, 5, and 10-year goals and initiatives
  • Be the primary point of contact for GSFR's payroll service and manage the bi-weekly payroll, including review, approval, and submission of timesheets
  • Enjoy a flexible schedule that is primarily in-office with some remote time available. Approximately two evenings a month and occasional weekends are required to assist with community events.

In 2013, two separate fire companies, with three stations, merged to form Garden Spot Fire Rescue (GSFR) and become the largest volunteer fire department in Lancaster County.

Both companies that merged are more than 100 years old, and GSFR now provides fire and rescue services in eastern Lancaster County, specifically New Holland Borough, Earl Township, and East Earl Township.

We seek a confident and self-motivated Fire Department Administrator who can provide proven organization and management skills that enable seamless daily operations.

Our Mission is "to protect life, the environment and property of the residents" of and traveling through our communities.

Our Ideal Fire Department Administrator is :

Previous experience in fundraising or sales is a plus.

  • Self-motivated : Assesses the work required, has the initiative to get started and drives tasks to completion independently and with minimal supervision.
  • Confident : Someone who maintains a professional demeanor while skillfully navigating interactions with diplomacy and tact when communicating with volunteers, government officials, and community members.
  • Team Player : Humble enough to admit mistakes, not if but when made. The drive to do a great job, respectful, and self-aware.
  • Excellent Communicator : Excellent written & verbal communication skills; someone who is relational and collaborative.

Able to navigate conversations with people with different backgrounds, personalities, beliefs, etc., and who, in some cases, are experiencing a crisis.

  • Organized : Someone with excellent organizational skills for managing numerous tasks. Capable of filing, filling out, and submitting required paperwork and reports on time.

What We Offer Our Fire Department Administrator
