The front desk administrator is the first point of contact for visitors and clients at our office. They are responsible for greeting guests, answering phone calls, scheduling appointments, and providing administrative support to the staff. The ideal candidate should have excellent communication and customer service skills, as well as a professional and friendly demeanor.
Responsibilities
· Welcoming and directing visitors and clients in a courteous and respectful manner.
· Answering and transferring phone calls, taking messages, and handling inquiries.
· Scheduling and confirming appointments, meetings, and events.
· Maintaining and updating the front desk calendar, contact list, and office inventory.
· Sorting and distributing mail, faxes, and deliveries.
· Helping with administrative task like sending invoices, receipts, and other documents.
· Assisting with data entry, filing, copying, scanning, and other clerical tasks.
· Ensuring the front desk area is clean, organized, and break areas are well-stocked.
· Adhering to the office policies and procedures, and reporting any issues or concerns to the manager.
Qualifications
· High school diploma or equivalent.
· Proficient in Microsoft Office, Google Suite, and other relevant software.
· Excellent verbal and written communication skills.
· Strong customer service and interpersonal skills.
· Ability to work independently and as part of a team.
· Ability to multitask, prioritize, and manage time effectively.
· Attention to detail and accuracy.
· Professional and friendly appearance and attitude.
