EXECUTIVE ASSISTANT

FULL TIME - 40 Hours Hybrid work environment (Weekends for special events & High Holy Days) 

$35/hr (temp to perm) 

1-3 years’ experience

Immediate Start

Progressive Non-Profit seeks a detail-oriented and dynamic Executive Assistant to support the Executive Director, Senior and lay leadership. Responsible for smoothly managing the day-to-day operations of the administrative Team and providing direct support to the Synagogue and Executive Director. Ideal candidates will always be one step ahead of the Team’s needs. Must be able to provide support in a Jewish, LGBTQ workplace.

Preferred experience with Synagogue life, LGBTQ competency, and an office environment. 

The position is initially offered on a temporary basis of four months with the potential to transition into a permanent role based on performance and business needs.

Key Responsibilities: 

  • Manage day-to-day administrative operations, including mail, office management, supply ordering, and staff meetings. 
  • Liaise with and provide support to a 17-person Board of Directors. 
  • Maintain files, agendas, meeting minutes, and communications with key players as needed. 
  • Support the Operations team on event coordination, catering, florals, etc., for holidays and congregational events. 
  • Partner with vital administrative colleagues to oversee and maintain a busy internal calendar of holidays, events, and programs. 
  • Maintain administration sections of the website. 
  • Meeting and event coordination, documentation, and logistical planning 
  • Assist with hiring, including posting jobs, screening candidates, setting up interviews & meetings, and other tasks as needed. 

Event Management

  • Assist in staffing and supporting events, fundraisers, galas, concerts, parlor meetings
  • Identify potential venues and caterers.
  • Create and distribute event invitations and advertisements and coordinate with communications staff.
  • Interface with potential guests and attendees as needed
  • After event follow-up messaging, photos, and reporting on the event

General

  • Comprehensive donor research
  • Attend all High Holy Day services and fundraising events 
  • Assist in planning meetings, send reminders, and plan logistics
  • Assist in the deployment of fundraising materials, including designing mail campaigns, solicitation letters, and reports
  • Complete general administrative duties as required.

Qualifications:

  • 1-3 years of professional administrative experience in an office or synagogue setting. Board and leadership support are a plus. 
  • Strong technical skills: Microsoft Suite, Salesforce (Salesforce Data Base NPSP Non-Profit), and WordPress 
  • Ability to maintain an active list of reports and create new reports to provide necessary information for decision-making. 
  • Experience in general Human Resources support desired 
  • Jewish knowledge, basic understanding of the Jewish calendar and terminology 
  • LGBTQ cultural competency with regards to gender, sexual orientation, and history Core Competencies:
